Job Description

As a Purchasing Coordinator, you will be responsible for managing all procurement activities for the hotel, ensuring the best quality and cost-effectiveness in line with IBIS standards.

Your key responsibilities will include:

  • Executing the Executive Chef's Daily Market List efficiently.
  • Collaborating closely with the Executive Chef and Cost Controller to establish precise purchasing specifications.
  • Addressing any discrepancies with suppliers promptly and ensuring the return of goods at their expense.
  • Identifying cost-saving opportunities without compromising quality or standards.
  • Coordinating with the Human Resources Department for associate ticketing.
  • Working alongside the Head Chef, F&B Cost Controller, Receiver, and Storekeeper to facilitate smooth receipt of ordered items.
  • Engaging with Department Heads to ensure proper oversight of Direct Purchases.
  • Maintaining strong relationships with suppliers to gain insights into market trends.
  • Assisting other departments with procurement-related inquiries.

In this role, you will also:

  • Take full responsibility for ordering goods based on approved Purchase Orders and Purchase Requests.
  • Prepare Letters of Credit for imported goods.
  • Process cheque requisitions for advance payments to Accounting.
  • File insurance claims for damaged or short-received goods.
  • Ensure competitive pricing is obtained through diligent market research.
  • Operate all equipment in accordance with established guidelines.
  • Gather a minimum of three quotations from suppliers as per hotel policy.

Additional Information

  • Maintain a clean and organized workplace, ensuring the safety of consumable goods by adhering to HACCP regulations.
  • Follow safety instructions and guidelines for all equipment used.
  • Support the hotel's commitment to environmental sustainability through energy conservation, recycling, and waste sorting.
  • Ensure compliance with health, hygiene, and safety regulations in line with HACCP standards.

Regularly conduct market surveys to stay updated on the latest trends and identify new suppliers and products. You will also:

  • Be aware of hotel activities and events to promote and maximize sales.
  • Update the vendor list regularly.
  • Provide comprehensive market trend information to the General Manager and Financial Controller.
  • Maintain a file of Open Purchase Orders for follow-up and reconcile discrepancies with the Receiver's records.
  • Participate in departmental meetings and training sessions, adhering to instructions received.
  • Advise management on changes in market trends.
  • Consistently follow hotel policies and procedures.
