Job Summary

We are seeking a highly motivated and experienced Operations Executive to join our team in Fujairah. As an Operations Executive, you will be responsible for overseeing the day-to-day operations of our terminal, ensuring seamless cargo sales, purchases, and barge logistics. You will work closely with various stakeholders, including suppliers, customers, terminals, and inspections companies, to support the entire supply chain.

Main Responsibilities
  • Coordinate with counterparties, including shipping agents, cargo suppliers/customers, surveyors, and cargo traders, to ensure smooth operations.
  • Proactively identify potential issues and provide timely updates to trading teams.
  • Stay up-to-date with industry news and developments.
  • Ensure compliance with local customs procedures.
  • Chase vessels ETA, cargo docs, invoices, and other relevant documentation from all parties involved.
  • Advise on port dues, calling costs, and other related expenses.
  • Organize a supply schedule for the relevant regions, aiming to supply as much product as safely as possible in the minimum amount of time.
  • Provide timely updates on vessels to be supplied to all parties involved.
  • Minimize barge idle time by proactively managing the best time to fix prompt volume.
  • Utilize reactive reports to assist the supply team in mapping demand and lead generation for sales teams.
  • Ensure all parties in the supply chain are aware of product availability, segregation requirements, or ullage in shore tanks.
  • Monitor and organize daily terminal/loading operations.
  • Support local and worldwide traders within the company.
  • Ensure correct and timely updates in the trading application (PTA) for all operations.
  • Adhere to all procedures/processes and policies regarding the usage of Company information systems, including CRM, trips, trading platform, expenses, and leads.
  • Knowledge of Customs Regulations applicable in the United Arab Emirates and Mauritius.
  • Problem-solving and being dynamic to an intricate supply schedule where uncontrollable variables impact barges availability.
  • Closely coordinate with all other departments, including fleet management & shipping ops for daily operations, Finance teams, system teams.
  • Knowledge of technical & maritime matters, SIRE & oil majors approvals for the barges, working closely with Fleet Department Management.
  • Manage barges supply schedules around mandatory surveys, maintenance, repairs to minimize the impact to the supply schedules.
  • Closely coordinate with ship brokers for FOB cargo position in case any.
  • Knowledge of Ships particulars and cargo plan.
  • Knowledge of INCOTERMS and Cargo Contract basis on agreement.
  • Knowledge of Port logistics and Maritime commerce.
  • Proactively work on building good relationships both externally and internally.
Knowledge, Skills, and Experience
  • Business-level English language essential; knowledge of Spanish is desirable.
  • High level of computer literacy, including proficiency in MS Office package and ability to work with CRM systems.
  • Confident individual with excellent verbal and written communication skills, persuasive and influential by nature, a highly effective negotiator able to think on your feet.
  • Attention to detail and able to listen and respond effectively to supplier/customer queries, solve problems.
  • High level of commercial acumen, able to think analytically and strategically, and understand the wider business context.
  • Able to work collaboratively as part of a team and towards shared goals but equally able to work independently with a minimal level of supervision.
  • Ambitious, self-motivated, and demonstrating a willingness to continually develop own knowledge and skills.
