Personal Assistant to Chairman

We are looking for a MALE confident, experienced, Presentable and well-spoken to act as an Administrator cum Personal Assistant to the Chairman. To provide personalized secretarial and administrative support in a well-organized and timely manner. You will work on a one-to-one basis on a variety of tasks related to the Chairman working life and communication. Should be smart talented and with 5 years Personal Assistant Experience in UAE.
- Record notes and messages for the Chairman and schedule meetings..
- Managing a dynamic calendar of appointments; composing and preparing confidential correspondence; keeping Outlook contacts up-to-date.
- Responding to inquiries when required which might be related to our businesses.
- Closely monitor our company social media accounts.
- Manage sensitive matters with a high level of confidentiality and discretion especially decisions directly impacting the operations of the company.
- Manage travel arrangements and itineraries on behalf of the Chairman.
- Managing and organizing diaries, and scheduling appointments, meetings, and events.
- Taking meeting minutes and following up on the same.
- Guaranteeing a steady system of communication by actively engaging with all departments.
- Keeping and maintaining efficient and accurate filing systems.
- Photocopying and keeping an accurate and up-to-date record of documents.
- Gathering, preparing, and processing documents, such as sales contracts, purchase agreements, and deeds.
- Assisting Chairman at anytime.
- Organizing travel arrangements, itineraries, and agendas for the Chairman, including handling approval forms and completing expense reports.
- Proactively anticipating the Chairman’s needs and coordinating the appropriate people and resources to support the executive team.
- Representing the Chairman by welcoming visitors.
