**Job Summary**:
**Key Responsibilities**:
- **Administrative Support**:
- Manage the MD’s calendar, including scheduling meetings, appointments, and travel arrangements.
- Prepare agendas, presentations, and reports for meetings.
- Ensure the MD is well-prepared for all engagements by providing relevant documentation and briefings.
- **Communication and Coordination**:
- Serve as the first point of contact between the MD and internal/external stakeholders.
- Coordinate meetings with the Board of Directors, senior management, clients, and partners.
- Draft and proofread official communications, memos, and other documents on behalf of the MD.
- Organize and attend meetings with the MD, taking minutes, tracking action items, and following up on their execution.
- **Project Management**:
- Assist the MD in managing special projects, tracking progress, and ensuring timely delivery of milestones.
- Conduct research and analysis to provide the MD with the necessary information for decision-making.
- Handle confidential projects and business initiatives with discretion.
- **Travel and Event Management**:
- Organize complex travel itineraries, including flights, accommodations, and transport.
- Arrange logistics for company events, conferences, and external engagements.
- **Office Management**:
- Liaise with other departments to ensure the MD’s office runs smoothly.
- Manage office supplies, expenses, and vendor relationships.
- Handle personal administrative tasks for the MD, as needed.
**Qualifications and Skills**:
- Bachelor’s degree in Business Administration, Communications, or a related field.
- **3-5 years** of experience as an Executive Assistant or in a similar role supporting senior leadership.
- Excellent organizational and time management skills, with the ability to prioritize tasks effectively.
- Strong verbal and written communication skills, with attention to detail.
- Proficient in MS Office Suite (Word, Excel, PowerPoint, Outlook).
- Discretion and confidentiality when handling sensitive information.
- Strong interpersonal skills and the ability to build relationships with stakeholders.
- Proactive, with the ability to work independently and as part of a team.
- Experience in handling international travel and complex itineraries is a plus.
