**Job Summary**:
Assist the Government Relations function and the Human Resources operations within the property ensuring its overall efficiency and effectiveness.

**General Duties and Responsibilities**:

- **New Colleagues Onboarding**:

- To prepare Memo’s requesting for cash payment in order to process the employment visa and ensure timely submission of expense reports to maintain smooth cashflow in the online system.
- To coordinate with the Health Authorities and schedule medical appointments for visa + food handlers, document preparation, transport arrangements and notification to the departments concerned on the dates and schedule
- To prepare a Recruitment cost summary for each colleague to be filed in their personal file
- To ensure all stamped passports are filed in the personal file, updated on Bayan and copy handed over to the concerned colleague. List of colleagues shared with the HR Clerk for Rotana ID cards preparation.
- **Leavers**:

- To liase with the Human Resources Coordinator & Clerk on weekly basis for the new resignations received and process their cancellation documents as per the last working dates
- To calculate the prorate recruitment cost and share with Finance for any deductions
- To maintain a trace system in place to ensure all leavers are cleared from the system as per their last day to avoid any overstaying
- **Passports**:

- To conduct a monthly passport inventory at the end of every month and a physical check of all the colleague passports kept in the HR custody, missing passports list to be available and followed up regularly
- To extract the passport expiry list and coordinate with all concerned team members to ensure timely renewal before the expiry date
- Passports of Colleagues handling cash float must be tracked on a weekly basis in order to be able to cross verify with any passport withdrawals
- **Occupational Health Cards**:

- **All medical appointments to be coordinated and Bayan as well as hard copies to be kept updated at all times

**-**To process renewals of the Food handlers before one week of the expiry date
- **Renewal of Legal Documents**:

- To share a list of visa renewals and food handlers' renewals one month prior to all Departments concerned to check for any colleagues proceeding on vacation / resignation before proceeding with the renewals
- **Medical Insurance**:

- To share a copy of the digital card with the schedule of benefits with the colleagues for acknowledgement and the same to be documented in their personal file
- To process all insurance cancellations for leavers in line with the exit date or date of new visa received
- **COVID -19 related**:

- To follow up with the Ministry of Health on the schedule for covid testing and arrange the same with all colleagues
- To assist in preparation of the documentation, filing, reports and tracking of Covid tests and vaccination cards

**Other Tasks**:

- Assist in processing all Government related certifications and licenses - NOC for Entertainers, Entertainers License of the property to ensure legal Hotel operations
- File all Government related documents in a systematic way to ensure timely access during government inspections, this relates to soft copies on the HR Shared driver as well as filing in the individual files
- Provide legal advice to Employees on government procedures and rules to ensure all concerned abide to government directives and laws
- Conducting a monthly reconciliation of sponsorship report v/s active colleague list and highlighting discrepancies if any to the Government Relations Manager
- To ensure that all external / outsourced parties legal documents are tracked and maintained in a separate file including - visa, work permits, ID’s, vaccine cards and OHC certificates
- Operate in a safe and environmentally friendly way to protect guests’ and employees’ health and safety, as well as protect and conserve the environment.
- Comply with the hotel environmental, health and safety policies and procedures.

**Additional to the above-mentioned requirements an Employee will at times be expected to perform tasks and duties outside of his/her scope of work as necessitated by work demand.**
