**The Opportunity**:
HKA has an exciting opportunity for a highly competent full-time Regional Business Support Manager to join our team in Dubai. This is a key role for the business that requires a highly organized individual with a responsible attitude, a keen eye for detail, and exceptional customer service skills.
The successful applicant will be an integral part of the team, ensuring an efficient and smooth running of the business support function within the Middle East Region. The role will oversee and support other administrative staff, therefore, demonstrating excellent leadership skills is essential for this role.
**Role and Responsibilities**:
Ideally you will possess the following skills and experience:
- Responsible for overseeing end-to-end business administration and to ensure all regional policies and procedures are adhered to, initiating new as appropriate.
- Review, streamline and implement local business support processes in alignment with regional business support policies and processes. Management of regional QA procedures including, drafting QA manual in line with current and future processes.
- In collaboration with Regional Business Support Team, responsible for overseeing local office building management, facilities and logistics services, (including company registrations, tenancy leases and contract renewals, vendor management), when required.
- Responsible for coordination of the New Joiners, and de-mobilization of leavers
- Management of regional CRM system, carry out check and balances on the system, liaising with Finance, Marketing and Enterprise Systems Director regarding new system processes including of the same prior to rolling out to the region. Drafting and updating instruction manuals.
- Management of regional office resources to include workforce planning, day to day supervision, performance management and employee relations.
- Responsible for handling Partners / Consultants requirements from a Business Support perspective to help them operate efficiently.
- Management of international travel, flight booking, hotel reservations, visa arrangements and travel schedules following company policies ensuring timely preparation of travel documents for all individuals intending to travel.
- Responsible for regional PRO’s ensuring coordination of company registrations with various government entities and management of employee visas, residency permits and local labour contracts.
- Responsible for regional vendor management, not limited to travel companies, car rentals, hotels, cleaners, etc.
**Qualifications and Experience**:
- Well rounded experience working within a professional services environment in an administrative-type role with 5+ years’ experience.
- University degree in business administration or related field.
- Strong English language skills both in verbal and written form, Arabic would be a plus.
- An advanced level with the full Microsoft Office software.
- A confident and approachable manner when dealing with all levels of people over the telephone and face-to-face.
- Excellent organisation skills and comfortable with multitasking.
- Able to work independently and with initiative while meeting deadlines.
- A clear understanding of the importance of quality and attention to detail.
- A friendly and communicative person, able to work without supervision, who understands business needs for document control and management and the vital importance of data control in a modern office.
- An organised, forward-thinking individual with a bright, positive outlook and a ‘can do’ attitude.
