Dakos Technical Services is seeking a dedicated and organized HR and Administrative Assistant to join our new office in Dubai. This role is integral to ensuring smooth operations across HR and administrative functions, contributing to the overall efficiency of our company.

**Job description**

We are seeking a highly motivated and capable HR & Admin Assistant to join our team and provide comprehensive support to our management.

In this role, you will be responsible for efficiently processing employee data, keeping company policies up-to-date, and assisting in the hiring process.

Your exceptional organizational skills and familiarity with HR functions will contribute to the smooth running of all HR operations.

You will play a crucial role in maintaining accurate employee records, ensuring compliance with HR policies, and promoting effective communication within the organization.

Your attention to detail and ability to handle confidential information with discretion will be essential in this role.

**Responsibilities**:

- **Office Management**:

- Monitor and manage office supplies, stationary, and petty cash.
- Organize and schedule day-to-day team tasks.
- Prepare quotations, invoices, contracts, agreements, follow up with clients for payments, and generates payment link.
- Coordinate with the procurement officer for office supplies and maintenance materials.
- Perform other office duties as assigned.
- **HR Management**:

- Assist the HR Manager in managing visa processing, new employment visas, work permits, visa renewals (GDRFA, ICP, MOHRE Applications), PRO services, License renewals, and overall insurance management.
- Manage all HR-related duties, including payroll processing, resolving payment issues, time sheets, leave, benefits, bonuses, and employee data records.
- Handle recruitment processes, including posting job ads, screening resumes, scheduling interviews, on-boarding, induction, and off-boarding.
- Maintain employee records (digital and physical), prepare offer letters, employment and salary certificates.
- Administrative work of letters for Banks, Salary Certificates and salary slips. Handling employee verification calls from bank when needed.
- Opening the payroll account and updating KYC for the same.
- Manage employee relations, requests, grievances, and ensure adherence to UAE Labor Law and MOHRE.
- Maintain high Confidentiality of all HR-related information and records.
- **Administrative Support**:

- Assist in preparing monthly reports (e.g., Manpower Census, Employee DHA License, WPS, Leave Plan).
- Ensure compliance with company policies, industry regulations, and legal requirements.
- Coordinate training and development programs for staff and handle employee verification calls from banks.
- Provide comprehensive support to the operations team and other departments.
- Prepare and present daily sales and weekly reports to the Operations Director.
- Manage inventory levels and ensure timely procurement of supplies.
- Maintain Records and ensure timely Renewals of company trade licenses, tenancy contracts, company vehicle registrations, insurances, employee visas, and NOCs from all authorities and private sector managements.
- Manage Meetings calendar, agenda, take minutes and transcribe.
- **Qualifications**:
What you need to have:

- UAE Experience in HR minimum 3 years.
- Extensive knowledge of UAE labor law and legal compliance.
- Experience in recruitment especially (Blue Collar).
- Strong communication and interpersonal skills, with the ability to handle confidential information.
- Problem-solving skills and the ability to work independently and as part of a team.
- Administrative experience 2 years.
- Recruitment: 2 years.

**Language**:

- English (required).
- Arabic, Hindi, Urdu will be a plus.

**License/Certification**:

- Bachelor's (required), Master's is plus.

**Job Types**: Full-time, Contract
Contract length: 24 months

Pay: AED4,000.00 - AED6,000.00 per month
