Executive - Customer Support & Administration

**Job Purpose**:
The administrator provides comprehensive executive, administrative, customer support, logistics support and covers multiple complex responsibilities to ensure smooth running of office’s daily agenda and handling of priorities.
**Key Responsibility Areas**:
**Administration & Customer Service.**
- Greet persons entering website, chat-box, and establishment, determine nature and purpose of visit, and direct or escort them to specific destinations.
- Handle customer queries, complaints, provide appropriate solutions and alternatives within the time limits; follow up to ensure resolution. [Maria: training for the software will be provided. We need to discuss customer service training]
- Keep records of customer interactions, process customer accounts and attend to general office filings of documents. Follow communication procedures, guidelines, and policies.
- Take the extra mile to engage customers.
- To answer enquiries and obtain information for customers, visitors, and other interested parties.
- Operate telephone to answer, screen, and forward calls, providing information, taking messages and scheduling appointments.
- Transmit information or documents to customers.
- File and maintain records.
- Schedule appointments and maintain and update appointment calendars for Management Heads.
- Process and manage all the related documents LPO’s / NOC's / Visa / delivery orders etc.
- Perform general office administrative and operational duties in the run-up to and following the launch of the brand.
- Collects, sorts, distributes, and prepares mail, and courier deliveries.
**Coordination /Logistics & Operations**:
- Coordinate and monitor supply chain and counterparty operations
- Ensure premises, assets and communication ways are used effectively
- Utilize logistics initiatives to optimize procedures
- Plan and track the shipment of final products according to customer requirements
- Keep logs and records of warehouse stock, executed orders etc.
- Prepare accurate reports for upper management
**Competencies Required**:
- Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records.
- Effective communication skills, polite mannerisms, and willingness to help others and answer questions or concerns.
- Effective Customer Satisfaction skills.
- Knowledge of Social Media Platforms.
- Web Proficiency.
- Advertising.
- Customer service and delivery skills.
Eexcellent knowledge and experience of ALL Office 365 suites, word, excel, powerpoint, outlook etc
**Educational Qualification**:
- University Graduate or Bachelors
**Experience**:
- 3-5 years of relevant industry experience with 2 years in similar role.
**Salary**: AED3,000.00 - AED4,000.00 per month
Ability to commute/relocate:
- Dubai: Reliably commute or planning to relocate before starting work (preferred)
**Experience**:
- Customer Service: 2 years (required)
- MS Office: 3 years (required)
- Administration: 1 year (required)
**Language**:
