We are seeking a proactive and organized Receptionist and Administrative Assistant with

Key Responsibilities:
**Reception and Client Management**:

- Greet and welcome clients, visitors, and vendors in a professional and friendly manner.
- Maintain a neat and organized front office area, ensuring a positive first impression.
- Schedule and manage appointments and meetings, optimizing team members' time.

**Administrative Support**:

- Provide general administrative support, including filing, data entry, and document preparation.
- Organize and coordinate internal and external meetings, including booking rooms and arranging refreshments.
- Maintain office supplies and inventory, placing orders when necessary.
- Prepare documents, presentations, and reports as required for meetings or client presentations.
- Manage incoming and outgoing mail and courier services.

**Project Coordination**:

- Assist the interior design team with administrative tasks for ongoing projects, such as tracking timelines, organizing client files, and updating project databases.
- Coordinate with suppliers and vendors to ensure timely delivery of materials, furniture, and fixtures.
- Support the team in preparing mood boards, presentations, and 3D design files by organizing materials and documents.

**Office Operations**:

- Oversee daily office operations, including office maintenance and cleanliness.
- Liaise with building management and handle any office-related issues.
- Assist in basic IT troubleshooting and work with external IT support when needed.
- Help organize company events, team-building activities, and client meetings.

**Key Requirements**:

- Bachelor’s degree in Architecture, Interior Design, or a related field is a must
- 3-4 years of Previous experience as a receptionist or administrative assistant, ideally within an architecture or interior design environment.
- Strong organizational and multitasking skills, with attention to detail.
- Excellent communication and interpersonal skills, with the ability to interact professionally with clients and team members.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint) and familiarity with office management software.
- Knowledge of interior design industry terminology is a plus.
- Ability to work independently and handle confidential information with discretion.

**Job Types**: Full-time, Permanent

Pay: AED3,000.00 - AED3,500.00 per month
