**Position Summary**:
**Key Responsibilities**:
- **Office Management**: Oversee office supplies, ensure equipment maintenance, and manage inventory. Handle vendor relationships, including ordering supplies and coordinating facility services.
- **Administrative Support**: Provide administrative assistance, including managing schedules, coordinating meetings, arranging travel, and organizing company events.
- **Document Management**: Maintain organized records, filing systems, and documents in both digital and physical formats. Assist in preparing and formatting documents, presentations, and reports.
- **HR Support**: Assist the HR team with employee onboarding, scheduling interviews, and maintaining employee records in alignment with DMCC and UAE laws.
- **Visitor and Communication Handling**: Greet visitors, answer phone calls, and respond to general inquiries professionally and in alignment with our values.
- **Support Company Policies**: Ensure all office procedures align with company policies, including ESG/CSR practices, health and safety standards, and waste management initiatives.
**Qualifications and Skills**:
- **Education**: High school diploma or equivalent; additional certification in office administration or related fields is a plus.
- **Experience**: Minimum of 2 years of experience in office administration, preferably in a tech or energy-related company.
- **Technical Skills**:
- Proficiency in MS Office Suite (Word, Excel, PowerPoint) and experience with office management software.
- Familiarity with HR and finance processes and systems is an advantage.
- **Organizational Skills**: Strong attention to detail, excellent time management skills, and the ability to multitask and prioritize tasks efficiently.
- **Communication Skills**: Excellent written and verbal communication skills, with a customer-focused attitude.
- **Problem-Solving Ability**: Proactive in identifying and resolving issues independently while maintaining a positive attitude.
- **Confidentiality and Integrity**: High standards of confidentiality and integrity, particularly when handling sensitive information.
