Job Title: Office Manager

**Responsibilities**:
Manage day-to-day office operations, including but not limited to reception, mail distribution, office supplies, and equipment maintenance.

Coordinate and schedule meetings, appointments, and travel arrangements for senior management and staff members.

Oversee administrative tasks such as drafting correspondence, preparing reports, and maintaining files and records.

Assist in the recruitment and onboarding process by coordinating interviews, conducting orientations, and maintaining employee records.

Monitor and maintain office budgets, including expenses, invoices, and financial records.

Collaborate with department heads to ensure effective communication and coordination across different teams.

Implement and enforce office policies and procedures to promote a safe and productive work environment.

Handle employee inquiries, concerns, and conflicts, striving to maintain a positive and cooperative work atmosphere.

Maintain and update office policies and procedures manual, ensuring compliance with applicable laws and regulations.

Evaluate and negotiate contracts with vendors, service providers, and suppliers to optimize cost-efficiency and quality.

Oversee facilities management, including maintenance, repairs, and space planning.

Research and recommend improvements to streamline office processes and enhance overall operational efficiency.

Qualifications:
Bachelor's degree in business administration, management, or a related field is preferred.

Proven experience in office management or a similar administrative role.

Strong organizational and multitasking skills, with the ability to prioritize tasks effectively.

Excellent verbal and written communication skills.

Proficient in using office software and equipment, including Microsoft Office Suite and basic accounting software.

Demonstrated leadership abilities and the capacity to work both independently and collaboratively.

Problem-solving mindset and ability to make sound decisions under pressure.

High level of professionalism and discretion in handling confidential information.

Knowledge of relevant legal and regulatory requirements related to office management.

Familiarity with facilities management and basic financial principles.

Positive attitude, flexibility, and adaptability to evolving work demands.
