Job Description:
The Executive Assistant plays a crucial role in supporting the executive team and ensuring the smooth functioning of the Fit Out and Joinery Company. This position involves providing comprehensive administrative assistance to the executives, managing their schedules, coordinating meetings and travel arrangements, and handling various tasks to facilitate efficient operations. The Executive Assistant will report directly to the Managing Director and collaborate with the executive team and other departments as necessary.

**Responsibilities**:
Administrative Support: Provide high-quality administrative support to the Managing Director and executive team, including managing calendars, scheduling appointments, coordinating meetings, and handling correspondence.

Communication and Coordination: Serve as the primary point of contact for internal and external stakeholders, managing communication and correspondence on behalf of the executives. Coordinate with team members, clients, and suppliers to ensure efficient operations.

Travel Arrangements: Arrange travel itineraries, including flights, accommodation, and transportation, for the executives and other team members as needed. Ensure all travel arrangements are well-organized and cost-effective.

Meeting Coordination: Prepare meeting agendas, attend meetings, and take accurate minutes. Coordinate meeting logistics, including room setup, audio-visual equipment, and catering, when necessary.

Document Preparation: Draft, edit, and format documents such as reports, presentations, and memos. Ensure accuracy, consistency, and confidentiality of all documents.

Information Management: Maintain organized filing systems and databases. Retrieve and disseminate information as required by the executives or other team members.

Project Support: Assist with various projects by conducting research, compiling data, and preparing reports. Collaborate with different departments to ensure timely completion of projects.

Event Planning: Assist in organizing company events, conferences, and team-building activities. Coordinate logistics, including venue selection, catering, and participant registration.

Office Management: Support general office operations, including ordering supplies, managing office equipment, and coordinating maintenance and repairs.

Confidentiality: Handle sensitive information with utmost confidentiality and discretion.

Qualifications:
Proven experience as an Executive Assistant or in a similar role and industry.

Excellent organizational and time management skills in handling fast-track projects.

Strong written and verbal communication abilities in English and Arabic Languages.

Proficient in using office software and equipment, including MS Office (Word, Excel, PowerPoint) and communication tools.

Exceptional attention to detail and accuracy.

Ability to multitask and prioritize tasks effectively.

Strong interpersonal skills and ability to build relationships with internal and external stakeholders.

Flexibility and adaptability to handle changing priorities and deadlines.

Professional demeanor and the ability to maintain confidentiality.

Knowledge of the fit out and joinery industry is
