We are looking for a Company Secretary to start immediately. The Company Secretary will be responsible to oversee, manage and provide general support to the Chairman of the group of companies. The position entails time sensitive handling of highly confidential information. This is an excellent opportunity to be part of an entrepreneurial and fast-paced environment. We are seeking someone who is a qualified company secretary or has board secretarial practice.
- Provide administrative support to executives, including managing their schedules, arranging meetings, coordinating travel arrangements, and handling correspondence. ability to work with other department and team members at all levels, regulators and other third parties.
- Maintain executives' calendars, scheduling appointments, meetings, and events. Ensure that they are aware of their daily schedules and any changes or conflicts.
- Maintain organized and up-to-date records, files, and databases. This may include confidential or sensitive information, so discretion is crucial. Strong attention to details.
- Arrange and coordinate meetings, including booking venues, preparing agendas, distributing materials, and taking minutes. Follow up on action items and ensure that deadlines are met.
- Make travel arrangements for executives, including flights, accommodations, transportation, and visas. Provide detailed itineraries and ensure that travel plans align with their schedules.
- Research and gather information on various topics as requested by executives. Summarize findings and present them in a clear and concise manner. Computer literate with MS Office, SAP or other softwares.
- Assist with special projects or initiatives as assigned, which may involve coordinating cross-functional teams, tracking progress, and ensuring deadlines are met.
- Maintain strict confidentiality regarding sensitive information, such as financial data, personnel matters, and strategic plans. Exercise discretion in all communications and interactions.
- Represent executives and the organization in a professional and courteous manner at all times. Serve as a positive ambassador for the company in interactions with clients, partners, and other stakeholders.
- Be flexible and adaptable to changing priorities and deadlines. Prioritize tasks effectively and handle multiple responsibilities simultaneously.
- Work hand-in-hand with the Chairman, and support legal, regulatory and compliance team members on corporate governance matters.
- Ensure all management, Shareholder and Committee meetings of the company are organized as per schedule.
- Helping and advising the chairman on discharging their duties in accordance with rules and regulations.
- Support the Chairman in ensuring the Board functions efficiently and effectively.
- Facilitate good communication between the Board, committees, senior management and non-executive managers, and shareholders.
- Ensure Agenda Resolutions, Minutes of Meeting, necessary documentation and correspondences are prepared as per timelines, and coordinate with directors and/or members for necessary approvals/consents.
- Monitor changes in applicable statutory and regulatory requirements relating to registration and governance matters, and take appropriate action and provide timely information as required.
- Ensure company's compliance with all applicable statutory and regulatory requirements for entities in UAE, Middle East and America.
- Responsible for effective corporate governance in all entities and ensure standardization of processes and systems including adequate training to individuals as needed.
- Ensure confidentiality and protection of data, information, files, correspondences and intellectual property related to the role.
- File necessary documents with registries, such as annual tax returns and audit reports, and liaise with external regulators and advisers, such as lawyers and auditors as required.
- Carry out additional reasonably expected Company Secretarial responsibilities as required

**Requirements**:
A bachelor's degree in business administration, Management or related field
- At least 3 years of experience in a similar role
- Excellent organizational and time management Skills
- Proficient in Microsoft Office Suite
- Ability to work under pressure and manage competing priorities
- Strong interpersonal and communication skills ENGLISH, HINID and ARABIC.
- Discreet and confidential with sensitive information
- Flexibility to work outside of normal business hours when required
- Ability to work independently and as part of a team

Pay: AED6,000.00 - AED10,000.00 per month
