Job Responsibilities:
  1. Manage calendars, appointments, travel, and correspondence for senior executives.
  2. Prepare documents and reports for meetings.
  3. Serve as the main point of contact between the executive and internal/external stakeholders.
  4. Draft and manage business communications.
  5. Organize meetings, take minutes, track action items, and coordinate company events and conferences.
  6. Maintain filing systems, track budgets, process expenses, and manage office supplies.
  7. Handle sensitive information with discretion and ensure confidentiality in all matters.
  8. Assist with project coordination, tracking progress, and conducting research for reports and presentations.
  9. Facilitate communication across teams, ensure smooth office operations, and support day-to-day administrative functions.

Required Skills:

  • Strong communication and interpersonal skills.
  • Exceptional organizational skills and attention to detail.
  • Proficient in office software (Microsoft Office, Google Suite, etc.).
  • Ability to handle multiple tasks, prioritize effectively, and meet deadlines.
  • Professional demeanor, with the ability to manage sensitive and confidential information.

Experience:

  • 5+ years of experience as an Executive Assistant or PA, particularly in large or multinational EPC contracting companies.
  • Experience managing senior executives' schedules and operations.
