Role Purpose

This position is responsible for providing comprehensive personal and administrative support to facilitate seamless coordination of departmental activities. It plays a pivotal role in ensuring efficient operations, effective communication, and the smooth execution of administrative processes within the department.

Job Responsibilities

  1. Provide comprehensive administrative support to the department including managing calendars, scheduling meetings, preparing correspondence, and handling confidential information.
  2. Manage and maintain accurate filing systems (both electronic and paper) for all documents, ensuring easy retrieval and compliance with record retention policies. Prepare and process purchase orders, invoices, and reports, ensuring accuracy and adherence to company policies.
  3. Assist with the preparation of presentations, reports, and other documents as required. Coordinate with internal departments (e.g., Finance, IT, HR) to resolve administrative issues and ensure smooth operations.
  4. Assist in the preparation and management of budgets, tracking expenses and identifying cost-saving opportunities.
  5. Provide excellent customer service to clients, responding to inquiries and resolving issues in a timely and professional manner.
  6. Ensure compliance with all relevant aviation regulations and company policies.

Skills

  1. Minimum of 2-3 years of experience in an administrative or project support role.
  2. Bachelor's degree in Business Administration, Public Administration, or a related field - Preferred.
  3. Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  4. Excellent ability to work effectively in a team environment and collaborate with diverse stakeholders. Strong planning and organizational skills.
  5. Strong communication skills in both written and oral forms.
  6. Strong knowledge in the development and implementation of policies & procedures.
  7. Meticulous attention to detail.
