Receptionist Cum Legal Secretary

Position Overview:
As the Receptionist cum Legal Secretary, you play a dual role that is essential to the firm's operations. You are responsible for managing the front desk activities, providing administrative and secretarial support to the legal team, handling the client intake process, including client KYC, and checking for conflicts of interest under the supervision of the Head of Legal or authorized managers.
THIS POSITION WILL BE IN OUR RAS AL KHAIMAH OFFICE
What you will be doing:
- Greet and welcome clients and visitors with a professional and friendly manner.
- Efficiently manage incoming calls, providing information and redirecting inquiries as necessary.
- Maintain a tidy and well-organized reception area, equipped with necessary materials.
- Manage appointment scheduling, visitor logs, and legal staff calendars.
- Handle mail and deliveries, ensuring proper distribution and confidentiality.
- Facilitate the client intake process, collecting accurate client information.
- Conduct thorough client KYC procedures under supervision, adhering to legal standards and firm policies.
- Perform initial conflict of interest checks for new clients, ensuring compliance with legal ethics and firm guidelines.
- Update and maintain client records and databases.
- Prepare and draft legal documents, correspondence, and reports.
- Organize and maintain legal files, ensuring accurate record-keeping and confidentiality.
- Assist legal staff with administrative tasks to support legal proceedings and operations.
What you need to have:
- Diploma or degree in Business Administration, Secretarial Studies, or a related field.
- Experience in a receptionist or legal secretary role, preferably within a legal or professional service setting.
- Proficiency in Microsoft Office, with familiarity in office technology and equipment.
- Excellent communication and customer service skills, coupled with professional etiquette.
- Strong organizational, multitasking, and time-management skills.
- Knowledge of legal terminology, client KYC processes, and conflict of interest checks.
- Ability and willingness to commute to Ras Al Khaimah.
- ARABIC LANGUAGE KNOWLEDGE IS A MUST
