Executive Assistant Receptionist

**Overall Purpose**:
An Executive Assistant cum Receptionist who provides high level support to COO and other Heads in the workplace, such as taking calls, scheduling meetings, managing executive requests, receiving visitors, providing information about company and other office duties. This position requires someone who has excellent verbal communication skills, good judgement, and strong time management skills in order to meet deadlines. This role includes performing secretarial and administrative duties such as organizing files, preparing documents, scheduling appointments, and assist to the COO.
**Principal Duties**:
- Collaborates with all employees COO, and/or other project participants to understand assignment, audience, and intended message.
- Answering telephone calls and if needed, directing callers to the appropriate personnel.
- Welcoming visitors to the office and introducing them to the appropriate personnel.
- Attend to all customer queries and interactions with courtesy and respect.
- Managing Calls and Correspondence for the team. Answering phones in a professional manner, and routing calls as necessary.
- Maintain the reception area, meeting room, COO’s office and common areas in a clean and tidy manner at all times. Overseeing the general appearance of the office, as well as keeping supplies well stocked.
- Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges)
- Update calendars and schedule meetings for COO.
- Arrange travel and accommodations for Senior Management.
- Provides general administrative support to others line manager.
- Assist in coordinating events and exhibitions logistics.
- Prepare and organize documents, reports, and presentations.
- Schedule appointments and manage calendars
- Assisting Admission team in filling and maintaining documents.
**Education / Qualifications/ Experience / Skills**
- **Essential**:_
- Minimum Bachelors; additional qualifications in administration or related field is a plus.
- Proven experience as a Receptionist or Personal Assistant.
- Familiarity with the education industry is an advantage.
- Excellent communication and interpersonal skills.
- Strong organizational and time-management abilities.
- Proficient in MS Office (Word, Excel, PowerPoint).
- Ability to handle multiple tasks and prioritize effectively.
- Professional demeanor and appearance.
- Punctual and reliable.
- Ability to maintain confidentiality and handle sensitive information.
- At least two(2) years of related work experience highly preferred.
- **Desirable**:_
- Bachelor’s degree in designing.
- Experience in college/school will be preferred.

Please note that given the need for flexibility in order to meet the changing requirements of the University, the duties and location of this post and the role of the post-holder may be changed after consultation. The balance of duties may vary over time and will be reviewed as part of the appraisal process.
**Salary**: From AED3,000.00 per month
