Job Summary:

Key Responsibilities:

Reception Duties:

  • Greet and welcome visitors, clients, and employees with a friendly and professional attitude.
  • Maintain a tidy and presentable reception area.
  • Handle incoming and outgoing mail, packages, and deliveries.
  • Schedule and coordinate appointments, meetings, and conference room bookings.

Personal Assistant Duties:

  • Provide administrative support to the executive team, including calendar management, travel arrangements, and expense reporting.
  • Prepare and edit correspondence, reports, and presentations.
  • Manage confidential information with discretion and professionalism.
  • Assist with personal tasks and errands for the executive team as needed.
  • Coordinate events, meetings, and conferences, including arranging catering and technical support.

General Administrative Support:

  • Maintain office supplies inventory and place orders as necessary.
  • Assist in the preparation of departmental reports and documents.
  • Coordinate with other departments to ensure smooth office operations.
  • Perform other administrative tasks and special projects as assigned.

Qualifications:

  • Proven experience as a receptionist, administrative assistant, or similar role.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Excellent verbal and written communication skills.
  • Strong organizational and multitasking abilities.
  • Professional appearance and demeanor.
  • Ability to handle sensitive information with integrity and confidentiality.
  • Flexibility and adaptability to changing priorities and tasks.

Preferred Skills:

  • Experience with office management software (e.g., MS Office, Google Workspace).
  • Familiarity with booking and scheduling tools.
  • Basic bookkeeping knowledge.
  • Customer service experience.

Note:

  • Responsibilities includes managing all business relations of CEO. Shift timing may change according to the availability of CEO.
