Administrative Assistant

Hire Rightt is seeking to hire for the role of an admin for their Dubai office.

The Administrative Assistant will support the daily operations of a recruitment consultancy by managing client trackers, uploading CVs, coordinating interview arrangements, and handling various administrative tasks.

Key Responsibilities

Client Trackers Management

  • Create and maintain detailed client trackers.
  • Update trackers with candidate statuses and relevant information.

CV Management

  • Upload candidate CVs to client's SharePoint systems.
  • Ensure CVs are correctly categorized and stored.

Interview Coordination

  • Schedule interviews between clients and candidates.
  • Confirm interview details with all parties involved.
  • Ensure smooth communication and coordination for interview.

Administrative Support

  • Perform general administrative tasks such as data entry, filing, and document management.
  • Prepare and format documents and presentations as needed.
  • Assist with organizing meetings and managing calendars.

Client Interaction

  • Act as a point of contact for clients, addressing inquiries and providing information as required.
  • Maintain positive relationships with clients through efficient and courteous service.

Miscellaneous Tasks

  • Support the CEO with various ad hoc tasks and projects.
  • Ensure the office environment is organized and professional.

Experience:

  • Previous administrative experience, preferably in a recruitment or consultancy environment.
  • Proficiency with Microsoft Office Suite (Excel, Word, PowerPoint, Outlook).
  • Experience with SharePoint and email management systems is a plus.

Skills

  • Strong organizational and time-management skills.
  • Excellent written and verbal communication skills.
  • Ability to handle multiple tasks simultaneously and meet deadlines.
  • Attention to detail and accuracy in work.
  • Professional and courteous demeanor.
