Additionally, the Head of Administration (M/F/d) bears the responsibility of fostering harmonious integration and coordination of processes between several divisions and stakeholders, and will supervise all administrative personnel employed in the United Arab Emirates.


Your duties and responsibilities will include:

  • Human Resources: Ensuring the correct and timely handling of HR activities, encompassing hiring processes, employee relations, staff enrollment, maintenance of personnel files, attendance records, payroll, performance evaluations, HR support activities, HR reporting, HR policies, procedures, manuals, and periodic reporting
  • Finance: Overseeing the implementation, execution, and documentation of financerelated activities, including accurate bookkeeping, payment preparation and execution, proper accounting record maintenance, compliance with legal and administrative accounting regulations, implementation and documentation of signature regulations, ensuring material, technical, and arithmetical correctness and payment authorization
  • Compliance: Implementing and monitoring relevant compliance standards, including the 4eye principle, task separation, job rotation, and an effective internal control system, to ensure integrity and prevent misconduct, such as conflicts of interest, corruption, moral/behavioral misconduct, and discrimination
  • Health and Safety: Ensuring compliance with applicable health and safety regulations as well as adherence to legal and procedural standards
  • Maintenance and Security: Ensuring adequate maintenance, cleaning, and security measures for all areas, maintaining a general sense of orderliness and cleanliness
  • Inventory management: Maintaining efficient and uptodate stock keeping practices, which involve meticulous material management and documentation, inventory lists and orderly storeroom management
  • Procurement: Ensuring the implementation, execution, and documentation of procurementrelated activities, such as the establishment and adherence to impartial procurement procedures based on economic principles, maintenance of comprehensive and reliable procurement files as well as effective management of material, supplies, and machinery
  • Student Relations: Assisting in student relations and managing related student data, such as attendance records and certificates
  • IT Support: Providing support and maintenance for IT equipment, while ensuring compliance with relevant IT standards, including data protection and IT security measures
  • Coordination and Liaison: Facilitating communication and coordination with all internal stakeholders, as well as interacting and collaborating with local institutions and stakeholders in Abu Dhabi, Al Ain, and the broader UAE context

To be successful in this role you should have the following skills and experiences:

  • Bachelor's Degree in Business Administration, or similar
  • Minimum of five to ten years of relevant experience in a similar position within an educational institution
  • Working experience in the UAE is a prerequisite
  • Proficient English communication skills, German language skills would be an added value
  • Excellent coordination and management skills are necessary to efficiently handle administrative responsibilities
