Personal Assistant to the CEO

Your mission is to allow David to devote maximum time to his core area of expertise by taking care of a broad range of administrative tasks, travel arrangements and day-to-day errands.
1 | SUPPORT THE CEO ON HIS DAY-TO-DAY
As a Personal Assistant to the CEO, your primary mission is to provide top-notch support to the CEO to ensure they can focus on their core responsibilities and drive the company forward.
In order to do that, you will:
- Manage the CEO's schedule, including scheduling meetings, appointments, subscriptions, and travel arrangements.
- Manage personal affairs: remind the CEO of important dates, manage personal calendar, plan family events, send birthday cards / gifts, arrange personal calls.
- Assist in preparing and editing documents, presentations, and reports as required by the CEO.
- Handle online orders, product return, and service issues.
- Take care of paying bills.
- Handle any personal errands: grocery shopping, meal preparation, household repair.
- Maintain the highest level of confidentiality and discretion at all times.
2 | PROACTIVELY MANAGE ADMINISTRATIVE TASKS
The CEO is responsible for many critical tasks that require their attention, and as the Personal Assistant, it is your mission to ensure these tasks are managed proactively, efficiently, and effectively.
In order to do that, you:
- Organize and maintain accurate and up-to-date records and files for the CEO, including contracts, legal documents, and other critical information.
- Help find the best external vendors and negotiate tirelessly to ensure the CEO has the resources and support they need to be successful.
- Copy, scan, and fax documents.
- Take notes during meetings.
- Clean the CEO's office and refill items when necessary.
- Organize and manage your filing system, both paper-based and scanned e-files (Google Drive & Notion).
3 | IMPROVE PROCESSES AND ENHANCE THE CEO'S PRODUCTIVITY
As a growing company, we are always looking for ways to improve processes and enhance productivity, and as the Personal Assistant to the CEO, you will be a key player in this effort.
In order to do that, you will:
- Constantly assess the CEO's daily tasks and identify areas where processes can be streamlined, and efficiency can be enhanced.
- Propose new tools or processes to help the CEO stay organized and productive.
- Research and provide recommendations on best practices for personal assistants to enhance the CEO's effectiveness.
- Maintain a positive and proactive attitude to support the CEO in achieving their goals.
4 | OTHER COOL PROJECTS
As our company continues to grow, there will be many exciting projects and initiatives that will require your support and expertise.
In order to do that, we might work together on:
- Supporting the organization of company events and initiatives.
- Supporting the CEO in public speaking engagements and interviews.
- Assisting with special projects and initiatives as assigned by the CEO.
