Personal Assistant to CEO

As the Personal Assistant to the CEO, you will play a crucial role in supporting the CEO in day-to-day operations and ensuring seamless coordination of activities. You will be the CEO's right-hand person, assisting with administrative tasks and managing schedules. Your ability to prioritize, maintain confidentiality, and communicate effectively will be instrumental in ensuring the CEO's effectiveness and productivity.
Key Responsibilities:
- Calendar Management: Proactively manage the CEO's schedule, including arranging and coordinating meetings, appointments, conference calls, and events. Anticipate schedule changes and conflicts, and efficiently resolve them.
- Travel Coordination: Arrange and organize all aspects of domestic and international travel for the CEO, including flights, accommodations, ground transportation, and necessary travel documentation. Ensure all arrangements align with the CEO's preferences and business needs.
- Communication: Act as a primary point of contact for internal and external communications directed to the CEO. Screen and prioritize emails, phone calls, and other forms of communication, responding on behalf of the CEO when appropriate.
- Documentation and Recordkeeping: Prepare and maintain important documents, reports, and files, both physical and digital. Organize and archive sensitive information and maintain strict confidentiality.
- Meeting Support: Prepare meeting agendas, materials, and presentations for internal and external meetings. Take accurate meeting minutes and follow up on action items as needed.
- Administrative Support: Handle general administrative tasks, such as expense reporting, invoice processing, and managing office supplies. Handle confidential information with discretion and professionalism.
- Relationship Management: Build and maintain positive relationships with key stakeholders, clients, and business partners on behalf of the CEO. Represent the CEO in a professional and courteous manner.
- Prioritization and Time Management: Identify critical tasks and prioritize them based on urgency and importance. Helps the CEO stay focused on high-priority initiatives and handle time-sensitive issues effectively.
- Special Projects: Support the CEO in special initiatives and projects as required, bringing a proactive approach to finding solutions and achieving objectives.
We're looking for someone with:
- Bachelor's degree in business administration or relevant field.
- Proven experience as Personal Assistant supporting C-level executives.
- Exceptional organizational and multitasking abilities.
- Excellent communication skills, both written and verbal.
- Proficient in using productivity tools such as Microsoft Office Suite, Google Workspace, and project management platforms.
- Discretion and ability to handle confidential information with sensitivity.
- Ability to work independently with minimal supervision and as part of a team.
- Strong problem-solving skills and a proactive mindset.
- Flexibility to adapt to changing priorities and fast-paced environments.
- Strong attention to detail and accuracy.
