JobDescription

Responsibilities:

  • TheTimesheet and Payroll Officer will manage the timesheet collectionprocess for multiple clients while also overseeing payroll-relatedtasks. Key responsibilities include:
  • Managingthe timesheet collection process in compliance with establishedStandard Operating Procedures (SOPs).
  • Sendingtimely reminders to employees regarding submission deadlines fortimesheets.
  • Maintaining leave trackers andupdating leave information in the ERP systempromptly.
  • Validating timesheets for accuracyand completeness, including verification of leave information andmanager approvals.
  • Maintaining accurate recordsof timesheet submissions, leave applications, and employeedata.
  • Following up with employees who have notsubmitted their timesheets through various communicationchannels.
  • Providing support to the accountingteam by ensuring the timely delivery of validatedtimesheets.
  • The ideal candidate will possessstrong organizational skills and attention to detail, ensuringseamless coordination between timesheet management and payrollprocesses
  • Assisting with payroll processing,including data entry, verifying hours worked, and ensuringcompliance with payroll regulations.
  • Utilizingvarious software applications for effective data management andcommunication.
  • LedgerReconciliation : Ensuring payroll aligns with generalaccounting records.
  • DeductionsManagement : Calculating benefits, retirementcontributions, and garnishments.
Desired candidate profile

1. Technical PayrollSkills

  • PayrollSoftware Proficiency : Knowledge of systems like ADP,QuickBooks, Paychex, orSAP.
  • Excel andSpreadsheets : Using formulas, pivot tables, and datamanagement for payrollcalculations.
  • TaxKnowledge : Understanding federal, state, and localtax laws, including FICA, FUTA, and otherdeductions.
  • Compliance :Familiarity with labor laws such as FLSA, overtime regulations, andACA requirements.

2.Data Entry andAccuracy

  • Attentionto Detail : Ensuring accurate input of hours, wages,and deductions.
  • AuditingSkills : Identifying and correcting discrepancies inpayroll records.
  • RecordKeeping : Maintaining organized and detailed recordsfor auditing and reportingpurposes.

3. TimeManagement andScheduling

  • Deadlines :Processing payroll on time, especially for weekly, bi-weekly, ormonthly cycles.
  • Time TrackingSystems : Familiarity with tools for logging employeehours (e.g., Kronos,TSheets).

4. AnalyticalSkills

  • ProblemSolving : Resolving payroll discrepancies or errorsefficiently.
  • TrendAnalysis : Reviewing data for patterns that affectbudgeting or employeecompensation.

5.CommunicationSkills

  • EmployeeSupport : Explaining pay stubs, deductions, orresolving pay-relatedinquiries.
  • Coordination :Liaising with HR, finance, or management to ensure payrollaccuracy.
  • Documentation :Writing clear reports or updates related topayroll.
