Position Overview

The Senior Admin Assistant plays a crucial role in ensuring the smooth operation of the department by managing documentation and maintaining confidentiality of records.

Key Responsibilities
  • Documentation Management: Ensure proper documentation and confidentiality of all departmental records.
  • Interdepartmental Coordination: Provide assistance in interfacing with other departments, following the guidance of the Head of Department.
  • Information Sharing: Coordinate with various departments across the organization to gather and disseminate relevant information.
  • Correspondence Preparation: Prepare, edit, and organize correspondence, memos, reports, emails, and other documents as requested.
  • Report Review: Review and edit reports developed by the Head as necessary.
  • Form Processing: Maintain and process forms efficiently.
  • Information Organization: Organize information by formatting, editing, retrieving, copying, and transmitting text, data, and graphics to contribute to report development.
Meeting Coordination
  • Agenda Management: Schedule meetings and organize the Head's agenda effectively.
  • Material Preparation: Prepare materials for workshops, conferences, meetings, and other events.
  • Meeting Attendance: Attend meetings with the Head as requested, and prepare and share comprehensive minutes with relevant stakeholders.
