Administrative Assistant Role
We are seeking an organized and detail-oriented individual to join our team as an Administrative Assistant. The successful candidate will provide administrative support to our project team, manage records, and prepare reports. This is an excellent opportunity for someone looking to develop their skills and contribute to a dynamic team.

Key Responsibilities
  • Manage the creation and upkeep of design and construction records, including correspondence, agreements, design documents, submittals, contract changes, daily reports, proposal requests, and payment applications.
  • Gather statistics and general data to prepare reports for internal and external use.
  • Remind project staff of timesheet submittals and maintain staff time-off schedule.
  • Review time reports to verify accuracy of hours worked and corresponding project charges.
  • Track paid-time-off hours charged and maintain schedule of future hours to be taken.
  • Create and maintain employee directory and related data pertaining to employees assigned to the project.
  • Receive, sort, and distribute mail, answer the telephone, take and relay messages in a timely manner.
  • Arrange meetings, record accurate meeting minutes, and distribute them to the project team.
