Job Summary

Key Responsibilities
  • Contract Management: Assist in the preparation, review, and management of contracts related to maintenance projects, ensuring accuracy and compliance with company policies.
  • Record Keeping: Maintain accurate and up-to-date records of contracts, including amendments, renewals, and terminations, utilizing our electronic filing system.
  • Contract Coordination: Coordinate contract signings and ensure all necessary documentation is completed accurately, communicating with clients, vendors, and internal stakeholders as needed.
  • Reporting and Documentation: Assist in the creation and distribution of reports, presentations, and other documents as required, utilizing our G Suite tools.
  • Administrative Support: Manage departmental correspondence, including emails, letters, and other written communications, and provide general administrative support to the Manager and team members.
  • Filing and Organization: Organize and maintain electronic and physical filing systems for contracts and related documents, ensuring easy access and retrieval.
  • Team Support: Support the Manager and team members with various administrative tasks as required, including scheduling and overtime pay calculations.
Requirements
  • Administrative Experience: Proven experience in an administrative role, preferably within an engineering or contracting environment.
  • Organizational Skills: Strong organizational skills with the ability to multitask and prioritize workload effectively.
  • Attention to Detail: Excellent attention to detail and accuracy in all work performed.
  • Technical Skills: Expertise with G Suite (Docs, Sheets, Slides) and proficiency in electronic filing systems.
  • Communication Skills: Exceptional communication skills, both written and verbal.
  • Teamwork: Ability to work independently and collaboratively in a fast-paced environment.
  • Industry Knowledge: Prior experience in the landscaping or construction industry is a plus.
  • Education: Associate's or Bachelor's degree in Business Administration, Legal Studies, or related field preferred.
