As a Front Desk Coordinator at Nextcare, you will play a vital role in creating a welcoming environment for clients, visitors, and employees. This involves managing front desk activities, handling phone calls, assisting with office administration, and supporting the Facilities team.
Your key responsibilities include:
- Calls: Receive all telephone calls promptly, accurately, professionally, and courteously, directing and/or recording and relaying messages as necessary.
- Visitors: Welcome visitors cordially, direct them to relevant offices, and provide excellent service, ensuring questions are answered and needs met.
- Understand and operate telecommunication equipment and console operations according to guidelines.
- Maintain knowledge of current regulations and services frequently used by the organization.
- Update company contact lists and extension lists in coordination with IT.
- Prepare and process outgoing mail, ensuring accurate sorting and distribution.
- Maintain proper records of documents received and delivered.
- Maintain confidentiality of organization's fiscal and personnel-related information.
- Organize and manage the reception area to ensure a tidy and professional appearance.
- Arrange meetings and Webex sessions, managing meeting room and Webex calendars accordingly.
- Report any security or safety issues promptly.
- Assist with clerical tasks, including filing, proofreading, and maintenance of service logs and data entry.
- Exhibit genuine concern for colleagues, conducting oneself appropriately and professionally.
- Develop and maintain comprehensive knowledge of administration resources; maintain stock of office stationery for the reception and track supplies.
- Apply safety and hygiene precautionary measures, maintaining a healthy work environment.
- Assist with ad hoc requests and administrative tasks from various departments.
- Monthly Reporting: Compile and submit monthly reports detailing reception activities, visitor logs, mail and package volume, and significant issues or improvements made to reception operations.
