Job Summary
We are seeking a highly skilled and organized Administrative Secretary to join our team at Eton Institute. The successful candidate will be responsible for providing administrative support to our executives, maintaining their agendas, and ensuring the smooth operation of our office.
Key Responsibilities
- Maintain executive agendas and assist in planning appointments, board meetings, and conferences.
- Attend meetings and keep minutes.
- Receive and screen phone calls and redirect them when appropriate.
- Handle and prioritize all outgoing or incoming correspondence, including emails, letters, and packages.
- Make travel arrangements for executives when necessary.
- Handle confidential documents and ensure they remain secure.
- Prepare invoices or financial statements and provide assistance in bookkeeping.
- Take part in budgeting and financing when necessary.
- Monitor office supplies and negotiate terms with suppliers to ensure the most cost-effective orders.
- Maintain electronic and paper records, ensuring information is organized and easily accessible.
- Conduct research and prepare presentations or reports as assigned.
- Renew and manage office licenses, trade licenses, and third-party contracts.
- Conduct market surveys and analysis as required.
Requirements
- Bachelor's or Master's degree.
- Formal qualification in a similar position.
- 3 years of experience as an Administrative Secretary would be advantageous.
- Advanced proficiency in managing documents, spreadsheets, and databases.
- Ability to draft, edit, or customize legal documents.
- Project management skills.
- Ability to liaise internally and externally on administrative matters.
- Exceptional filing, record-keeping, and organizational skills.
- Excellent written and verbal communication skills.
- Exceptional interpersonal skills and flexibility.
- Willingness to learn.
