Administrative Support Specialist

Job Summary
The Administrative Support Specialist will provide administrative support to the function's manager and other departments as needed. Key responsibilities include ensuring the maintenance of computer equipment and office supplies, verifying contracts between the function and external suppliers, and assisting in coordinating and implementing the development plan and department structure.
Key Responsibilities
- Providing reports, support, and advice to the function's manager and other departments as needed.
- Ensuring the maintenance of computer equipment and office supplies and keeping them in good condition.
- Verifying contracts between the function and external suppliers.
- Assisting in coordinating and implementing the development plan and department structure.
- Conducting assessment activities when necessary and as requested by direct supervisor.
- Using the GRP system to monitor employee attendance, input leave requests, generate reports, and check employee status.
- Facilitating internal and external meetings and disseminating meeting minutes and all other work-related information.
- Communicating with various departments within Dubai Customs in relation to completing assigned tasks and responsibilities.
- Working with the teams to support, develop, and implement the strategic plan and overall goals and objectives.
- Conducting financial analyses and cash flow projections, and reviewing and analyzing financial reports.
- Participating in the annual planning and assisting in setting annual goals for the business unit.
- Preparing the work agenda, information, and resources for department meetings.
- Coordinating with all Dubai Customs departments regarding departmental requirements.
