Job Description

M2 is seeking an experienced Executive Office Coordinator to join our team. As a trusted advisor to our CEO, you will provide high-level administrative support and ensure the smooth operation of our office.

Your primary focus will be on managing calendars, scheduling meetings, handling correspondence, and coordinating travel arrangements. You will also oversee office supplies and facilities, and assist with HR or finance tasks as needed.

You will be responsible for maintaining the current filing and database system, looking for ways to improve current systems, and producing reports and presentations as required.

Key areas of responsibility include:

  1. Acting as a point of contact between executives and external or internal colleagues
  2. Handling correspondence and organizing meetings
  3. Making travel arrangements and detailed travel itineraries
  4. Maintaining the filing and database system
  5. Producing reports and presentations
  6. Performing office duties, including ordering supplies and managing records databases
  7. Overseeing the day-to-day operations of the office facility
  8. Managing relationships with vendors and service providers
Skills and Qualifications

To be successful in this role, you will need:

  1. Bachelor's Degree or equivalent work experience
  2. Proven experience as an Executive Assistant or Office Manager
  3. Well-developed organizational skills and professional discretion
  4. Excellent verbal and written communication skills
  5. Ability to multitask and prioritize tasks
  6. Solid understanding of MS Office suite and proactive approach to problem solving
