We are seeking a dynamic and proactive individual to join our team as a Smart Intelligent Receptionist. This role involves managing reception duties, handling quotations, providing secretarial support, and assisting the accounts department as needed.
As a Smart Intelligent Receptionist at Ulti Trend, you will be the first point of contact for our clients and visitors, representing our company with professionalism and warmth. In addition to traditional reception tasks, you will be responsible for preparing and managing quotations, providing secretarial support, and assisting the accounts department with various tasks as required.
**Responsibilities**:
- Greet and welcome visitors with a positive and friendly attitude.
- Prepare and send quotations to clients in a timely and accurate manner.
- Maintain a well-organized filing system for quotations and other documents.
- Provide secretarial support, including typing, formatting documents, and scheduling appointments.
- Assist the accounts department with tasks such as data entry, invoice processing, and reconciliations.
- Coordinate with other departments to ensure smooth communication and workflow.
- Uphold confidentiality and discretion when handling sensitive information.
**Requirements**:
- Proven experience as a receptionist or in a similar role.
- Strong communication and interpersonal skills.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Ability to multitask and prioritize tasks effectively.
- Attention to detail and accuracy in all work.
- Experience in preparing and managing quotations is preferred.
- Previous experience providing secretarial support is an advantage.
- Knowledge of basic accounting principles is a plus.
- Fluency in English; additional language skills are beneficial.
