We are seeking a highly organized and detail-oriented Marketing Administrative Coordinator with a primary focus on managing reimbursement claims for the marketing team. This crucial role will also support the team by coordinating marketing initiatives, preparing post-activity reports, managing product assets for retailer listings, and assisting with asset requests. **Key Responsibilities**:

- **Reimbursement Claims Management (Primary Focus)**: Take ownership of the preparation, submission, and tracking of reimbursement claims for the marketing department. Ensure that all claims are accurate, submitted on time, and properly documented. Act as the main point of contact for reimbursement inquiries and resolve any discrepancies or issues that may arise.
- **Post-Activity Reporting**: Compile and prepare comprehensive post-activity reports that assess the performance of marketing campaigns. Provide insights and recommendations based on data analysis to improve future initiatives.
- **Team Coordination**: Serve as a liaison between marketing and other departments to ensure smooth communication and project execution.
- **Product Asset Management**: Prepare and manage high-quality assets such as product images, descriptions, and other materials for retailer listings. Ensure all assets meet retailer requirements and align with marketing guidelines.
- **Marketing Asset Support**: Assist the marketing team by fulfilling requests for product images, promotional materials, and other assets for ongoing campaigns and presentations.
- **File & Database Organization**: Maintain a well-organized, centralized repository for all marketing assets and reimbursement documentation to ensure easy access and retrieval.
- **General Administrative Support**: Provide administrative support to the marketing team, including scheduling meetings, assisting with special projects, and managing team calendars.

**Qualifications**:

- Proven experience in an administrative or coordination role, ideally within a marketing or finance-related environment.
- Strong understanding of reimbursement processes, with experience in preparing, submitting, and tracking claims.
- Exceptional organizational skills with the ability to manage multiple priorities and deadlines.
- Excellent attention to detail, especially when handling financial documentation, product descriptions, and asset management.
- Strong written and verbal communication skills, with the ability to liaise effectively with internal teams and external partners.
- Ability to work independently and collaborate effectively within a team.
