Executive Coordinator

We are searching for a vibrant Executive Coordinator plays a pivotal role in providing high-level administrative support to executives or senior management within an organization. This position involves managing calendars, coordinating meetings and events, handling correspondence, and facilitating communication between the executive and various stakeholders. The Executive Coordinator serves as a trusted liaison and ensures smooth operations within the executive office.
**Executive Coordinator Duties and Responsibilities**:
- Manage and prioritize executive calendars, scheduling appointments, meetings, and travel arrangements.
- Coordinate with internal and external stakeholders to ensure efficient use of executive's time.
- Organize and coordinate meetings, conferences, and events, including arranging venues, catering, and audiovisual equipment.
- Prepare agendas, distribute materials, and take minutes during meetings as required.
- Draft and edit correspondence, reports, presentations, and other documents on behalf of the executive.
- Maintain confidential files, records, and databases, ensuring accuracy and accessibility of information.
- Conduct research and gather data as needed to support executive decision-making.
- Coordinate complex travel itineraries, including flights, accommodations, transportation, and visas.
- Prepare travel expense reports and reconcile expenses in a timely manner.
- Serve as a primary point of contact for internal and external stakeholders, including staff, clients, vendors, and partners.
- Provide administrative support for special projects, initiatives, and strategic planning activities.
- Coordinate project timelines, deliverables, and follow-up actions as directed by the executive.
**Executive Coordinator Requirements**:
- Bachelor's degree in Business Administration, Communications, or related field preferred.
- Proven experience in an executive support role, preferably supporting C-level executives or senior management.
- Strong organizational and multitasking skills, with the ability to prioritize and manage competing demands.
- Excellent communication and interpersonal abilities, with a high level of professionalism and diplomacy.
- Fluent in Arabic and English.
- Excellent skills in MS Office.
- Operate standard office equipment other than computers.
- Prepare letters, memos, and other documents using word processing, spreadsheet, database, or presentation software.
