Nova Vision Real Estate (NV Real Estate) is a leading real estate agency in Abu Dhabi, specializing in providing exceptional service to clients looking to buy, sell, or rent properties.
**Job Summary**:
**Key Responsibilities**:
**Office Management**:
- Oversee the general day-to-day administrative functions of the office.
- Maintain office supplies and ensure all equipment is in working order.
- Organize and maintain physical and digital filing systems for easy access to documents.
**Client Support**:
- Greet and assist clients and visitors, ensuring a welcoming environment.
- Coordinate appointments and meetings between clients and agents.
- Maintain a high level of professionalism when interacting with clients, vendors, and partners.
**Agent Support**:
- Assist real estate agents with administrative tasks, such as preparing property listings, handling paperwork, and scheduling property showings.
- Support agents in updating and maintaining the company’s property database.
- Coordinate with agents to ensure that all transactions are completed and filed correctly.
**Marketing and Communication**:
- Assist with creating and distributing marketing materials for property listings.
- Manage social media accounts and company website updates.
- Coordinate with external vendors for marketing campaigns and events.
**Financial and Administrative Tasks**:
- Handle basic bookkeeping tasks, including invoicing and tracking payments.
- Assist with payroll processing and employee expense reports.
- Prepare financial reports and maintain office budgets in coordination with the finance department.
**Qualifications**:
- Proven experience as an Office Administrator, Administrative Assistant, or similar role.
- Strong organizational and multitasking abilities.
- Excellent verbal and written communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with CRM systems is a plus.
- Ability to handle sensitive information with confidentiality and professionalism.
- Strong attention to detail and problem-solving skills.
- Positive, customer-focused attitude and ability to work in a team environment.
**Education**:
- Bachelor’s degree in Business Administration, Office Management, or a related field (preferred but not required).
