Admin Coordinator

**JOB PURPOSE**
We are looking for an Admin Coordinator for DXBlends Café, your primary responsibility is to efficiently manage administrative tasks and support the smooth operations of the café. This role requires exceptional organizational skills, attention to detail, and the ability to multitask in a fast-paced environment.
**Responsibilities**:
- Assist with customer inquiries, resolving any issues or concerns, and ensuring a positive customer experience. This may involve coordinating reservations, handling customer feedback, and assisting with special requests.
- Assist with inventory management and ordering supplies. This involves monitoring stock levels, updating purchase orders, and liaising with suppliers/vendors to ensure timely and accurate deliveries
- Support the café with financial tasks, including processing invoices, tracking expenses, and reconciling sales reports.
- Assist with cash handling and ensure accurate record-keeping.
- Monitor and ensure compliance with health and safety procedures, regulations, and licensing requirements. Assist in maintaining cleanliness standards, conducting routine inspections, and reporting any issues to the appropriate team members.
- Assist in coordinating and organizing events held at the cafe, such as private parties, catering orders, or workshops. This includes managing event logistics, corresponding with clients, and ensuring all necessary arrangements are made.
- Maintain strong working knowledge of DXBlends products and services and offers technical support and information to team members.
- Oversee DXBlends products preparation, presentation, and storage to ensure compliance with Dubai Municipality food health and safety regulations.
- Identify, rectify, or report café equipment malfunctions.
- Monitor the duty roster and submit the attendance for payroll.
**Qualifications**:
- Bachelor’s degree in business administration or hospitality is advantageous.
- Previous experience in an administrative or coordination role, preferably in a café or hospitality environment.
- Exceptional organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
- Excellent interpersonal and communication skills, with a customer-oriented approach.
- Knowledge of inventory management systems and experience with ordering supplies.
- Strong attention to detail and ability to maintain accuracy in data entry and record-keeping.
- Ability to work effectively both independently and as part of a team.
- Knowledge of health and safety regulations in the foodservice industry is an asset.
- Flexibility to work weekends, evenings, and holidays as required in a café setting.
