Key Responsibilities:
Sales Support: Provide comprehensive administrative support to the sales team by handling inquiries, processing orders, preparing sales documentation, and maintaining accurate records in the sales database or CRM system.
Order Processing: Process sales orders promptly and accurately, ensuring that all necessary information, including pricing, terms, and delivery details, are correct. Coordinate with various departments to ensure timely order fulfillment.
Customer Communication: Communicate with customers regarding order status, product information, pricing inquiries, and other sales-related queries. Provide exceptional customer service by promptly responding to customer inquiries and resolving any issues or complaints.
Sales Reporting: Prepare and maintain sales reports, performance dashboards, and other sales-related analytics. Generate periodic sales forecasts, sales pipelines, and revenue projections to assist in sales planning and strategy.
Documentation and Filing: Maintain organized and up-to-date sales documentation, including contracts, proposals, customer correspondence, and other sales-related materials. Ensure compliance with company policies and legal requirements.
Sales Coordination: Collaborate with internal stakeholders, such as marketing and product teams, to support sales initiatives, promotional campaigns, and product launches. Coordinate sales meetings, conferences, and events as required.
Inventory Management: Assist in managing inventory levels by monitoring stock levels, coordinating with warehouse or procurement teams for replenishment, and reconciling any discrepancies.
Sales Training and Support: Assist in onboarding new sales team members by providing training on sales processes, systems, and tools. Offer ongoing support to the sales team, including updating sales collateral, preparing sales presentations, and conducting research on industry trends and competitors.
Process Improvement: Identify areas for process improvement within the sales administration function. Recommend and implement strategies to streamline processes, enhance efficiency, and improve the overall sales experience.
Ad hoc Tasks: Undertake additional tasks and responsibilities as assigned by the sales manager or senior leadership team to support overall sales operations and business objectives.
Qualifications and Skills:
- High school diploma or equivalent qualification; a bachelor's degree in business administration or a related field is advantageous.
- Arabic language is mandatory.
- Proven experience in sales administration, sales support, or a similar administrative role.
- Strong computer skills, including proficiency in MS Office (Excel, Word, PowerPoint) and experience working with CRM systems or sales databases.
- Excellent communication and interpersonal skills, with the ability to interact effectively with customers, sales team members, and other internal stakeholders.
- Analytical mindset with the ability to generate sales reports, interpret data, and provide insights.
