We are seeking an Executive Assistant with Project Management experience of 4 years to support our Executive team. You will act with little supervision, anticipating needs, while managing the day-to-day workflow and prioritizing various projects, which includes scheduling, contact management, preparing materials for meetings, and participating in a wide range of special projects. The Executive Administrative Assistant to the CEO will perform, coordinate and oversee administrative duties while providing an extensive level of support. These processes will enable the President to work more efficiently and effectively towards reaching the organization’s growth goals, with the following job tasks assigned:
**Primary Roles and Responsibilities**:
- Maintains the CEO's schedule, including day-to-day and long-term management of meetings, projects, and priorities.
- Schedules all meetings and travel, including prioritizing meetings and communicating all relevant details to participants.
- Balance conflicting priorities in order to manage workflow, ensure the completion of essential projects, and meet critical deadlines.
- Ensures CEO is prepared for upcoming appointments by gathering materials necessary for each meeting.
- Serves as the first point of contact for a wide variety of high-level relationships between CEO and external contacts.
- Drafts and edits correspondence, articles, reports and presentations, transcribes meeting notes.
- Coordinates and manages special projects, including working collaboratively with staff to assure projects meet deadlines.
- Takes on tasks to support the work of HIA Services programs and operations and overall mission.
- Works as a member of the team, willingly providing back-up-support to co-workers, when appropriate and actively supporting group goals.
- Preparation of Financial statements, reports, memos, invoices letters, and other documents.
- Research and conducts data to prepare documents for review and presentation by boards of directors, committees, and executives.
- Coordinates daily calendars for senior managers
- Proficiency in ADP, Microsoft software, including word processing, spreadsheets, databases, and presentation software.
- Responds promptly to Clinical teams queries
- Suggests more efficient ways to run the office and troubleshoot malfunctions.
- Plans appointments and events.
- The Liaison between executives, employees, and clients.
- Books Travel arrangements and accommodations
**WHAT YOU NEED**:
- Must have proven organization and time management skills to complete a high volume of varied responsibilities in a fast-pace setting with excellent attention to detail and the belief that no task is too big or too small
- Excellent relationship builder; able to demonstrate a high level of tact, discretion, and diplomacy with all internal and external stakeholders.
- Skilled in all aspects of planning and project management, able to take an idea from concept to completion.
- A Bachelor’s degree in Business Administration or related field from an accredited university. (a plus)
