Ø Supplier Relationship Management:
Develops and maintains long term partnership with key suppliers to create value for both parties and to maximize the performance, efficiency, and competitiveness of both the buying organization and its suppliers.
Ø Purchase Order Cycle Time:
Manage the end-to-end purchase order cycle, from requisition to delivery, for all procurement categories (food, beverage, packaging, consumables, equipment, etc.). Use a robust tracking system to record and measure the time taken at each stage of the cycle and identify and resolve any delays or issues. Analyze and report the average purchase order cycle time for all procurement categories on a daily, weekly, and monthly basis, and suggest ways to improve efficiency and speed. To advise on the par level and healthy stock level monitoring
Ø Cost of Purchase Order:
Evaluate and optimize the costs associated with the purchase order process, including direct costs (price, freight, taxes, etc.) and indirect costs (labor, overhead, etc.). Calculate and report the total cost of each purchase order and the average cost per procurement category on a daily, weekly, and monthly basis, and compare them with the budget and benchmarks. Negotiate with suppliers to obtain the best prices and terms and implement cost-saving initiatives and best practices.
Ø Purchases in Time and Budget:
Ensure that all purchases are made within the defined time frames and budget constraints for each procurement category, and track the actual time and budget spent on each purchase. Calculate and report the percentage of purchases meeting the time and budget constraints on a daily, weekly, and monthly basis, and identify and address any deviations or risks.
Ø Purchase Order Accuracy:
Ensure that all purchase orders are accurate and complete, and match the requisitions and specifications of the restaurants. Implement quality control measures to identify and prevent errors, and track the number and percentage of accurate purchase orders on a daily, weekly, and monthly basis. Report the accuracy metrics to the Stakeholders and take corrective actions for any inaccurate purchase orders.
Ø Emergency Purchase Ratio:
Monitor and reduce the number of emergency purchases, which are unplanned and urgent purchases that may result from poor forecasting, stock-outs, or quality issues. Categorize purchases as regular and emergency based on predefined criteria, and calculate and report the ratio of emergency purchases to total purchases on a daily, weekly, and monthly basis. Analyze the root causes of emergency purchases, and implement preventive measures to avoid them in the future.
Ø Cost Avoidance:
Identify and pursue potential cost avoidance opportunities, which are actions that prevent or reduce future costs, such as switching to alternative suppliers, renegotiating contracts, or consolidating orders. Quantify the expected cost reductions from each cost avoidance opportunity, and track and report the actual cost reductions achieved over time. Communicate the cost avoidance results to the relevant stakeholders.
Ø Cost Reduction:
Track and report the procurement’s efforts in negotiating cost reductions with existing suppliers, which are actions that lower the current costs, such as obtaining discounts, rebates, or freebies while maintaining the same or better-quality standards as per stake holder’s request. Quantify the savings achieved from each cost reduction negotiation and monitor the implementation and realization of the cost-saving measures. Communicate the cost reduction results to the relevant stakeholders.
Ø Procurement ROI:
Measure and report the return on investment (ROI) of the procurement function, which is the ratio of the net benefits (cost savings and avoidance) to the total costs (direct and indirect) of the procurement process. Collect data on the cost savings and avoidance, and the procurement costs, on a monthly, quarterly, and yearly basis, and calculate and report the procurement ROI for each period. Evaluate the performance and efficiency of the procurement function, and identify areas for improvement.
Ø Contract Savings/Discounts:
Negotiate and secure favorable contracts with suppliers, which offer savings or discounts on the prices, freight, taxes, or payment terms. Keep records of the contract negotiations and the associated savings or discounts, and sum up the total savings through negotiated contracts for each procurement category. Submit the data on the contract savings or discounts to the Head of Procurement and Supply Chain, and the relevant stakeholders, for the last 6 months.
Ø Payment Term Optimization:
Negotiate and optimize the payment terms with suppliers, which affect the cash flow and working capital of the company. Document the negotiation process and the outcomes, and track the improvements in the cash flow and the payment performance indicators, such as the days payable outstanding (DPO) and the payment on time (POT)
