**Job Purpose**:
**Primary Responsibilities**:
**Data Analytics & Reporting**:
- Build and manage reports using **Excel** and **Power BI** (a MUST). Develop dashboards, data models, and provide valuable insights for retail and construction project management.
- Create and update **Tenant Status Reports** and various project-specific reports using **Power BI** and Excel. Use **DAX** and **Power Query** to enhance reporting efficiency.
- **Administrative Support**:
- Provide robust administrative support during the project setup phase, ensuring all required documents (letters, forms, spreadsheets, trackers) are available and tailored to each specific project.
- **Document Management**:
- Maintain organized tenant folders for all tenant-related documentation (both digital and hard copy), ensuring accessibility and accurate filing on **VRDnet**.
- Manage the drawing submission process, track returns, and maintain a submission tracker for all design and project documentation.
- Update **Tenant Status Reports** with NTC information from landlords and drawing statuses from the Studio team.
- Assist in preparing NOCs, tenant letters, and variation request trackers for the retail delivery managers.
- **Support to Project Teams**:
- Ensure that all new project team members are onboarded effectively with the required resources.
- Assist in scheduling meetings, managing calendars, and handling other general administrative functions, such as preparing reports and correspondence for the **Project Lead**.
- Monitor the closeout process, update the **Close Out Tracker**, and hand over closed-out tenant files to the landlord.
- **Project & Invoice Management**:
- Support invoice processing by preparing, tracking, and submitting invoices for project-related services to clients, ensuring timely payments.
- Maintain a comprehensive **Invoice Tracker** at the project level to monitor the status of all issued invoices.
- Prepare monthly **Petty Cash Reports** and **Attendance Reports**, ensuring the proper submission of supporting documentation such as receipts and medical certificates.
- **Collaboration with Business Administration**:
- Complete all necessary documentation and reports for the **Business Administration** team as per standard procedures, ensuring accuracy and timely submission.
- Provide support for **Talent & Training**, ensuring the availability of required personnel and project-related documentation.
**Skills & Requirements**:
- **Expertise in Power BI, DAX, Power Query** (MUST).
- Strong proficiency in **MS Office**, particularly **Excel**.
- Experience in **retail delivery**, **construction**, or **project management**.
- Strong organizational, communication, and problem-solving skills.
- Ability to manage multiple tasks simultaneously, ensuring efficient project administration.
- Experience with document control and maintaining trackers for **tenant variations**, **testing & commissioning**, and **project closeout**.
