**Job Overview**: The Executive Assistant/Executive Receptionist will provide high-level administrative support to the executive team and manage the front desk operations. The role requires excellent organizational skills, the ability to multitask, and a professional demeanor to ensure smooth and efficient operations within the office.
**Key Responsibilities**:
- **Administrative Support**:
- Manage and maintain executive schedules, including meetings, appointments, and travel arrangements.
- Prepare reports, memos, letters, and other documents.
- Coordinate and prepare materials for meetings, presentations, and conferences.
- Handle confidential information with discretion.
- **Reception Duties**:
- Greet and welcome visitors in a professional and friendly manner.
- Answer and direct phone calls to the appropriate parties.
- Manage the reception area, ensuring it is clean, organized, and presentable.
- Handle incoming and outgoing mail and deliveries.
- **Office Management**:
- Maintain office supplies inventory and place orders when necessary.
- Coordinate with IT and facilities for maintenance and technical support.
- Assist in planning and organizing company events and meetings.
- Ensure compliance with company policies and procedures.
- **Communication**:
- Serve as a liaison between executives and other staff members.
- Communicate effectively with internal and external stakeholders.
- Draft and edit correspondence, communications, presentations, and other documents.
- **Project Coordination**:
- Assist in special projects as needed.
- Track project progress and provide updates to executives.
- Conduct research and compile data for projects and reports.
**Qualifications**:
- **Education**: Bachelor’s degree in Business Administration or a related field is preferred.
- **Experience**: Minimum of 3-5 years of experience in an executive assistant or receptionist role.
- **Skills**:
- Excellent organizational and time-management skills.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to handle multiple tasks simultaneously and work under pressure.
- Professional demeanor and appearance.
- Discretion and confidentiality.
- **Language**: Fluency in English is required; knowledge of Arabic is an advantage.
