**Personal Executive Assistant to the Group CEO**
**Overall Job Purpose**:
- To provide high level confidential support by providing a full secretarial and administrative assistance to ensure effective planning in timely manner._
**KEY RESPONSIBILITIES (P/A Job Description)**
- Manage daily activities of CEO and prioritize urgent meetings and provide reports of each meeting
Proactively manage and coordinate the diary of CEO by prioritizing and arranging internal and external meetings
- Providing full assistant support to the CEO including drafting routine letters to a high standard, taking minutes of meetings, messages, drafting agendas, collating papers and reports, following up action points.
- Supporting the CEO with correct and proper information before meeting with the board of directors to ensure smooth presentation.
- Ensure appropriate briefing papers are prepared and provided.
- Plan and organize travels and accommodation when required
- Develop skills and undertake responsibilities as appropriate with the purpose of the role and support the success of the organization.
- Ensuring that work is carried out in accordance with the company’s policies and procedures.
- Participate in meetings of the board of directors if required and in behalf of the CEO.
- Provide reports of overall performance of senior management as required.
- Undertake any other appropriate duties as required to support the Chief Executive to enable them to fulfil their role.
- Carry out each given task with complete discretion and a high regard for confidentiality.
- Any other duties relevant to the needs of the organization and as directed.
**P/A Administrative and Executive Responsibilities**:
- To act as a first point of contact dealing with correspondence (verbal and written) and phone calls
- Screen telephone calls, taking messages and responding appropriately to any queries.
- Coordinate meetings, conference calls and interviews when required by the CEO.
- Prepare conference room for meetings which include drafting agendas, gathering necessary documents for print outs and organize refreshments as required.
- Scout and manage booking for events venue when required.
- Provide support for the board director meetings by ensuring meetings are properly arranged.
- Assist meetings of the senior management team by drafting and collating papers and reports, preparing manageable agendas, taking minutes and following up on actions points.
- Arrange both domestic and international flights, transportation and accommodation for C-level executives.
- Arrange and prepare expense reports for C-level executives.
**REQUIRED SKILLS/EDUCATION BACKGROUND**:
1. Ability to multitask.
2. Good telephone etiquette.
3. Exceptional customer service skills.
4. UAE Experience is an ADVANTAGE
5. Detail-oriented and able to handle pressure
7. Strong planning and organizational skills.
8. Excellent communication skills (verbal and written)
9. Proven experience working as a personal executive assistant.
10. English & Arabic speaker (can speak other languages, A PLUS)
11. Bachelor’s Degree or certification in office administration or management is advantageous.
Ability to commute/relocate:
- Dubai: Reliably commute or planning to relocate before starting work (required)
