1.General AdministrativeSupport:
  • Provideadministrative support to the legal team including schedulingmeetings maintaining calendars and managing officecorrespondence.
  • Organize andmaintain legal files both physical and electronic ensuring alldocuments are properly filed and easy toretrieve.
  • Draft and proofreadroutine legal documents correspondence and contracts (e.g. realestate agreements leasesamendments).
  • Assist in organizingand preparing materials for meetings hearings andnegotiations.
  • Handle the preparationand processing of various legal documents including contracts andagreements related to real estatetransactions.
2.Document Management &Compliance:
  • Assistin the preparation and review of legal documents including purchaseagreements leases title documents and closingpaperwork.
  • Ensure all contracts andlegal documents comply with company policies and legal regulationswith a focus on real estatelaws.
  • Manage document storageretention and destruction in accordance with legal and companyrequirements.
  • Assist withmaintaining and updating records related to real estatetransactions property titles andcontracts.
3.Real Estate TransactionSupport:
  • Coordinatelogistics for real estate transactions including the organizationof property documents and liaising with external parties (e.g.agents brokers vendors titlecompanies).
  • Provide support duringproperty acquisitions sales leasing and othertransactions.
  • Assist with duediligence processes including reviewing documents related toproperty ownership zoning and regulatorycompliance.
4.Communication andCorrespondence:
  • Serveas the point of contact between the legal department and externalparties including clients contractors and legalfirms.
  • Draft and managecorrespondence including emails and letters ensuring prompt andprofessional communication.
  • Managelegal department mail scanning and electronic documentdistribution.
5.Research andReporting:
  • Conductlegal research related to real estate laws regulations and industrytrends as needed by the legalteam.
  • Assist in the preparation oflegal summaries reports and presentations for internal and externalstakeholders.
6.Billing and BudgetingSupport:
  • Trackand organize legal invoices expenses and budgets related to realestate transactions and legalmatters.
  • Coordinate with the financedepartment to ensure that invoices are processed in a timelymanner.
Qualifications:
EducationandExperience:
  • Bachelors degree in Business Administration Legal Studies or arelated field(preferred).
  • Previousexperience as an administrative assistant legal assistantor paralegal (ideally within a real estate or corporate legalenvironment) is highlypreferred.
  • Familiarity withreal estate laws and propertytransactions is aplus.
Skills:
  • Strongorganizational skills and attention to detailwith the ability to manage multiple tasks and prioritieseffectively.
  • Excellentwritten and verbal communicationskills.
  • Proficient inMicrosoft Office Suite (Word Excel PowerPointOutlook) and legal document managementsystems.
  • Ability tomaintain confidentiality and handle sensitive legalinformation with discretion.
  • Strongtimemanagement skills and the ability to work independently as wellas part of a team.
  • Familiarity withreal estate contracts leasesand regulatory requirements is anasset.
