Roles and responsibilities

The HR Coordinator will oversee andmanage all HR-related tasks for outsourced & Internalemployees, ensuring smooth communication, compliance with companypolicies, and timely resolution of employee concerns. The rolerequires strong interpersonal skills, attention to detail, and adeep understanding of HR processes to support the workforceeffectively.

Roles &Responsibilities

  • Serve as the primary point of contactfor all outsourced employees regarding HR-relatedmatters.
  • Handle onboarding processes for newhires, including documentation, orientation, and Insurancecoordination.
  • Address employee queries relatedto payroll, leaves, benefits, andpolicies.
  • Ensure compliance with labor laws andcompany policies across all HRfunctions.
  • Maintain accurate and up-to-dateemployee records in the HR system(Odoo).
  • Oversee the renewal of visas, workpermits, and employment contracts for outsourcedemployees.
  • Monitor attendance, leave records,and overtime approvals.
  • Assist in organizingemployee engagement activities to foster a positive workenvironment

Qualifications AndSkills

  • Bachelor's degree in HumanResources, Business Administration, or a relatedfield.
  • Minimum of 2-3 years of experience in HRcoordination, preferably in an outsourcing or staffingenvironment.
  • Strong knowledge of HR processes,labor laws, and best practices.
  • Proficiency inHR systems and Microsoft OfficeSuite.
  • Excellent communication andproblem-solving skills.
  • Ability to multitaskand prioritize in a fast-pacedenvironment
  • Preferring ready to join candidatesonly.

  • Recruitment andOnboarding:

    • Assist inthe recruitment process by posting job openings on variousplatforms (job boards, social media,etc.).
    • Screen resumes and applications,schedule interviews, and coordinate with hiringmanagers.
    • Support new employee onboarding bypreparing new hire documentation, setting up orientations, andassisting with the completion of paperwork (e.g., I-9 forms, taxforms).
    • Ensure new employees are introduced tocompany policies, benefits, and their role within theorganization.
  • EmployeeRecordsManagement:

    • Maintainand update employee records in the HR management system(HRIS).
    • Ensure all employee documents areproperly filed, organized, and compliant with company policies andlegal requirements.
    • Process changes to employeerecords, such as promotions, terminations, salary increases, or jobtitlechanges.
  • HRAdministration andSupport:

    • Assist HRManagers and other senior HR staff with administrative duties suchas scheduling meetings, preparing HR-related reports, andmaintaining databases.
    • Respond to employeeinquiries related to HR policies, benefits, payroll, and other HRmatters.
    • Assist with employee benefitsadministration, including health insurance, retirement plans, andleave of absence requests.
    • Manage employeeattendance records and assist with tracking leave balances (sickleave, vacation,etc.).
  • PayrollAssistance:

    • Assist withpayroll processing by collecting and reviewing employee timesheetsor attendance records.
    • Ensure that payroll datais accurate and submitted on time.
    • Coordinatewith the finance team to ensure payroll issues are resolvedpromptly.
  • EmployeeRelations:

    • Act as apoint of contact for employees regarding HR-related concerns orissues.
    • Help mediate conflicts and resolveemployee complaints in a timely and professionalmanner.
    • Foster a positive working environmentby supporting initiatives related to employee engagement,retention, andsatisfaction.
  • Trainingand Development:

    • Assistin organizing training sessions and employee developmentprograms.
    • Track employee training progress andensure compliance with mandatory trainingrequirements.
    • Coordinate workshops, seminars,or team-building activities to improve skills andteamwork.
  • Complianceand Reporting:

    • Ensurethat the company is in compliance with labor laws, workplaceregulations, and organizationalpolicies.
    • Assist in the preparation of reportsrequired for legal or regulatory compliance, such as EEO (EqualEmployment Opportunity) or OSHAreports.
    • Monitor and track workplace health andsafetyprocedures.
  • PerformanceManagementSupport:

    • Assist withthe administration of performance appraisal processes, includingreminders, form collection, and feedbackcoordination.
    • Maintain records of performancereviews and employee progress.
    • Help trackgoals, objectives, and development plans foremployees.
