  • Consistently offer professionalfriendly and engaging service.
  • Assist in thedaytoday operations of the Talent & Culturedepartment.
  • Maintaining flow of documents& ensuring they are as per Hotelpolicies.
  • Prioritize all telephone calls andinperson visitors scheduling appointments asrequired.
  • Provide all office administrationduties such as written correspondence mail photocopying andordering office supplies.
  • Maintain confidentialfiling system for correspondence policies standards regulations andvarious matters related to the office.
  • Maintainlockers inventory and conduct spot check to ensure high standard ofhygiene at all time. Be in charge of the overall Back of Houseareas including cafeteria First Aid room corridors washroomslounges and ensure they are spotless and tidy at all time. Assistand lead the quarterly pest control in the lockers with the supportof the Cluster Hygiene Manager.
  • Assistcolleagues in exit checklist clearance exit interview andresignation process.
  • Ensuring the timelyposting of pictures from colleague events on the appropriatecommunication channels such as Facebook WhatsApp LinkedIn Back ofHouse Area.
  • Process letter Requests fromcolleagues (Salary Employment ExperienceCertificates).
  • Filing of all colleaguedocuments on a regular basis and maintaining up to date colleaguefiles.
  • Processing of new colleagues changes ofstatus and separations in Oasys
  • Updating themonthly attendance for T&C inOasys.
  • Birthday Calendar preparation andsending to all colleagues via email.
  • Assist andlead the T&C activities and events throughout the year suchas but not limited to Townhall sport events cafeteria events CSRactivities accommodation gatherings nationaldays.
  • Assist our colleagues in any request theymight have such as banks issues cafeteria insurances and displayempathy and flexibility even outside of the work hours whennecessary.
  • Handle all decorations related toT&C in the office cafeteria Back of House for all eventsand celebrations
  • Liaise with our agents to bookour colleagues vacations tickets.
  • In charge ofthe Bienvenue Cards order andissuance.
  • Organize any colleagues recognitionsuch as weddings birthdays new born.
  • In chargeof the daily operations in the cafeteria which include liaisingwith the catering company to ensure consistency of the meals in thecafeteria organize regular audits and survey lead the cafeteriacommittee to collect feedback.
  • Addition of newjoiners to group insurance Health Insurance Workmens Compensationand Life insurance
  • Deletion of leavers fromgroup insurances
  • Submission of debit/creditnote from insurance to Finance trackers to be maintained and followup to be done
  • Submission/followup of medicalclaims with insurance broker
  • ProcessingWorkmens Compensation claims for all accidents that occur atwork.
  • Scheduling Training Room when required byother departments.
  • Support the L&Dsection with trackers posters and recognition programs whennecessary.
  • Assist the Cluster T&C Teamwhen necessary for events orders gatheringsetc
  • Other T&C tasks as and whenrequested by the T&C Manager and the Director ofT&C.

Qualifications:

  • Previousadministration or Talent & Culture experiencerequired
  • Computer literate in Microsoft Windowapplications required knowledge of Oasys is aplus
  • University/College degree in a relateddiscipline an asset
  • Excellent communication andorganizational skills
  • Strong interpersonal andproblem solving abilities with a flexibleattitude
  • Strong work ethics andconfidentiality
  • Highly responsible trustworthyand reliable
  • Ability to work cohesively as partof a team ability to display empathy at alltimes
  • Ability to focus attention on colleaguesneeds remaining calm and courteous at alltimes
  • Openminded ready to assist outside of theworking hours/days if anything occurs or if any event toattend
