Role Summary:

We are seeking a dynamic and experienced Executive Assistant to provide high-level administrative support to our executive team, ensuring the smooth running of the office, and supporting the company's operations. The ideal candidate will have excellent communication skills, a problem-solving attitude, and the ability to multitask in a fast-paced environment.

Responsibilities:

  • Coordinate and manage the executive's calendars, including scheduling meetings, appointments, and travel arrangements.
  • Prepare and organize documents, reports, and presentations for executive meetings and business engagements.
  • Co-ordinate and manage department leadership meetings, including taking of minutes and follow up of activities.
  • Manage document sign offs through official signatory process.
  • Collaborate with other Executive Assistants to optimise efficiency of operational processes.
  • Develop and implement office policies and procedures to improve operational efficiency.
  • Maintain a safe and secure working environment by ensuring compliance with health and safety standards.
  • Handle confidential information in a professional and discreet manner.
  • Prepare and review expense reports.
  • Manages team events.
  • Routinely perform a wide variety of support duties.

Competencies:

  • Strong organizational and multitasking skills, with attention to detail.
  • Excellent written and verbal communication abilities.
  • Proficiency in Microsoft Office suite and other relevant software applications.
  • Experience of design and development of Microsoft PowerPoint slides.
  • Ability to prioritize and manage time effectively, even under pressure.
  • Strong problem-solving and decision-making abilities.
  • Appetite to learn and develop knowledge and skills.
  • Collaborative team player capable of cultivating productive working relationships across different environment.

Education and Experiences:

  • Proven experience as an Executive Assistant, preferably in a fast-paced corporate environment.
  • Proficiency in Business English – written and spoken.
  • Microsoft Office qualifications.
  • Office based role.
