At Cavendish Maxwell, we are seeking a dedicated Receptionist and Office Administrator to join our team. In this role, you will be responsible for managing the front desk and ensuring effective facilities services.

Your exceptional interpersonal skills, attention to detail, and ability to multitask will contribute to the smooth operation of our office.


Key responsibilities:

  • Warmly greet and welcome visitors, clients and employees creating a positive and professional atmosphere.
  • Answer and direct phone calls, taking accurate messages and promptly delivering them to the appropriate individuals.
  • Respond to enquiries from clients, visitors, and employees in a timely and professional manner, providing helpful information or directing them to the relevant resources.
  • Maintain a clean and organised reception area, consistently reflecting a professional image.
  • Efficiently manage incoming and outgoing mail, packages, and deliveries ensuring prompt distribution and proper documentation. Coordinate conference room bookings and appointments, and if required, assist with catering for meetings.
  • Proactively maintain office supplies inventory, ensuring the availability of necessary items and placing orders when needed.
  • Handle confidential and sensitive information with the utmost discretion and maintain a high level of confidentiality at all times.
  • Update and maintain accurate contact lists, ensuring completeness and accuracy.
  • Collaborate with the Office Assistant to monitor the cleanliness of the offices, ensuring they meet established standards.
  • Assist in coordinating office maintenance and repairs, liaising with vendors and suppliers.
  • Monitor and manage office equipment, ensuring proper functioning and addressing issues promptly.
  • Provide proactive assistance to the Operations and Office Manager, contributing to employee engagement initiatives and maintaining uptodate records.
  • Collaborate with administrators from various branches on tasks related to maintenance and office management, fostering a teamoriented approach.

Preferred Qualification and Skills:

  • Proven experience in a receptionist or administrative support role, preferably in a corporate environment.
  • Exceptional interpersonal and communication skills, with the ability to interact professionally with clients, visitors, and employees at all levels.
  • Proficient in Microsoft Office suite (Word, Excel, Outlook, PowerPoint) and familiarity with office equipment.
  • Strong organisational skills with the ability to multitask and prioritise tasks effectively in a fastpaced environment.
  • Attention to detail and accuracy in handling administrative tasks, including managing mail, scheduling appointments, and maintaining records.
  • Proactive and resourceful attitude, with a willingness to assist in various office tasks and support team members as needed.
  • Ability to monitor and ensure cleanliness standards in office spaces, ensuring a comfortable and professional working environment.
  • Ability to work independently with mínimal supervision and collaborate effectively as part of a team when required.
  • Flexibility to adapt to changing priorities and a willingness to take on new challenges as they arise.
  • Experience in assisting with employee engagement initiatives or familiarity with event management is a plus.
