CBRE Excellerate is a leading global provider of integrated facilities and corporate real estate management.

The Facilities Coordinator is to assist the facilities manager for all site FM services, operations, on-site team and suppliers and projects works.


Key Responsibilities:

Technical

  • To assist management of FM Services at UAE Hub locations.
  • To assist management for FM standards and delivery through Supplier KPI's/SLA's.
  • Coordinate a client, supplier performance reviews against output on a monthly basis.
  • Subcontractor performance review and Full understanding of contract scope.
  • To assist management for the suppliers financial performance of the site/s service delivery, with rising of work orders, Purchase orders and control of supplier invoices.
  • To assist management for adherence to business controls and company processes and procedures.
  • To assist management for initiating value add initiatives at one or more sites.
  • Ensure essential site systems and equipment is maintained within KPI's and SLA's and with no statutory failures.
  • Assist the FM with a costeffective maintenance program for all UAE buildings, plant, systems and equipment is in place.
  • To assist management to ensure projects are managed within the portfolio and delivered on time and within budget.
  • To assist management to manage the BCP (emergency evacuations) and ensure it is known to all staff.
  • Assist the FM management of suppliers who support the site/s.
  • Issuing of FM Agreement to Suppliers and Cost negotiation of supplier cost and savings
  • Assist the FM management of emergency procedures for the UAE site/s.
  • Assist the FM management for all accident reporting at site/s.
  • Other facilities AD-HOC tasks that may be added from time to time.

Financial

  • To assist management to Develop and manage passthrough opportunities to realize savings.
  • Ensure that all Health & Safety and Environmental requirements are in place at site/s within remit.
  • Working with the Facilities manager to help improve the financial standards of the contract that are measured against monthly key performance indicators.
  • Ensuring that Extra Works jobs are raised, billed and closed in a timely manner at the correct gross margin.
  • Raising purchase orders in line with company requirements.
  • Assisting the Contract Manager in the management of WIP and debt.
  • To assist management with all supplier financial supplier costs and controls for the site/s.
  • To assist management to Ensure the timely delivery of all monthly financial reports.
  • Be commercially aware and have a sound knowledge of cost controls and daily financial planning.

People skills

  • To assist management and develop the site/s team/s through effective induction, training and development and annual appraisals.
  • Strong supervisory skills and influencing ability.
  • Manage a team to deliver their objectives.
  • Strong communication skills (oral or written).
  • Be able to converse confidently with staff, customers and suppliers at all levels.
  • Strong team player with a passionate customer service focus.
  • Convey messages and ideas clearly and openly. Involve people and influence decisions.

Customer Service

  • Maintain regular contact with the FM by developing permanent, mutually beneficial relationship including growth plan and training.
  • Assist the FM management for his accountability being the forefront of customer relationships in the site/s.
  • Be at the forefront of customer relationships in the site/s.
  • Demonstrate strong customer services skills and use your experience to ensure that customer expectations are met.
