Office Manager

- Communicates withfunctional managers, staff members, deans, faculty members, andstudents; by responding to all their inquiries and satisfying alltheir needs.
- Establishes viable relationshipswith external parties and m aintain regular contact withAU’s internal and external parties by communicatingDean’s instructions, requirements, and decisions, andbriefing her on important issues of interest andfeedback.
- Manages Dean’s agenda byprioritizing appointments, scheduling meetings and events, anddrafting minutes of meetings, and translating documents (Arabic toEnglish and vice versa).
- Maintaining accurateand up-to-date student records, including academic records andpersonal information.
- Prepares, reviews andrefines progress reports in coordination with related individuals;ensures that deadlines of projects’ completion are metand problems are immediately addressed, resolved and/orreported.
- Maintains organized and easilyaccessible resources within a highly automated environment;ensuring an accurate and timely flow of incoming and outgoingdocuments.
- Manage , conduct and communicate allDOS office events preparations and required logistics.
- Drafts letters, announcements, memos,circulars, and emails, and communicates with all internal andexternal parties as needed.
- Attends meetingsand updates the Dean on certain matters ofinterest.
- Produces reports, presentations,analytical summaries and briefingpapers.
- Conducts research on specific issuesand present the findings to the Dean.
- Performsother different job-related duties as assigned by theDean.
QUALIFICATIONS& EXPERIENCE:
- A bachelor's degree in arelevant field such as education, counseling, or businessadministration.
- Minimum 5 years of professionalexperience in a related role, preferably within the highereducation environment.
KNOWLEDGE &SKILLS:
- Effective management and professionalcommunication skills.
- Demonstrable knowledge ofadministrative policies, procedures and best practices asapplicable to the support services.
- Ability toprioritize the workload in an effective manner; work under pressurewithin a busy environment and meet toughdeadlines.
- Good knowledge of office managementpractices within a dynamic and highly automated workenvironment.
- Ability to foster cooperative workrelationships within a diverse community that involves multipleinternal and external parties.
- Proficiencylevel in MS. Word, Excel, andPowerPoint.
- Excellent written and verbalcommunication skills in English andArabic.
- Good knowledge of budget preparationand fiscal resources management.
- Ability togather data, conduct research, compile information, and writereports.
- Familiarity with student servicesprograms and regulations.
- The ability to workeffectively with a diverse group of students and staffmembers.
WORKINGCONDITIONS:
- Work is normally performed in atypical interior/office work environment.
- No orvery limited physical effort required.
- No orvery limited exposure to physical risk.
