Facilities Management Assistant

The role holder is responsible forimplementing and executing the Dubai Community ManagementFacilities Management operations and maintenance activities inaccordance with defined standards and processes with the objectiveof enhancing customer satisfaction, minimizing customer complaints,and promoting sustainable initiatives for long term costmanagement.
Themain duties and responsibilities of thisrole:
Facilities Management and DailyOperations
- Implementthe daily operation and monitoring of the DCM FM activities at site(soft services, PPM, cleaning, waste management, civil works etc),to ensure activities are carried out within the set timelines,financials budget and conform to the quality standardsagreed.
- Execute activities within the assignedcommunity, conduct regular meetings with internal &external teams to monitor progress of FM activities and to ensurecompliance with the agreed standards andrequirements.
- Prepare FM tender document fornew buildings and conduct necessary technicalevaluation.
- Develop the process of identifyingfacilities management best practices and development of formalprocesses and practices as necessary towards integrating andembedding sustainable principles and strategies into dailyoperational practices.
- Support the clientfacing teams’ team in timely resolution of their queriesrelated to facilities management in coordination with applicabledepartments.
- Support in representing the DubaiCommunity Management during design, planning, construction, andhandover stages of the newly developed assets to oversee FMrequirements.
- Identify and recommend to thebusiness unit and department head major improvements (technical andfeel & look) required to enhance that enhance the existingfacilities.
- Maintain records of utilitiesexpenditure and implement initiatives of sustainability andutilities cost saving projects.
- Assist inconducting necessary inspection, witness testing &commissioning and manage rectification of defects andsnag’s during the DLP in coordination with P&Dand contractor.
- Carry out activities directlyrelated to regulatory requirements of life safety systems andensure necessary certifications are obtained ontime.
StakeholderManagement
- Ensure theService provider is attending to all re-active service requestsfrom various stakeholders and in compliant with theSLA.
- Maintain effective communication withsuppliers, internal departments and stakeholders and provide activesupport in the delivery of services by suppliers as per SLAs andQHSE standards.
- Review and certify serviceprovider’s monthly performance and paymentcertificate
- Initiate procurement process,liaise with procurement during the tendering process, review vendorresponses and issue GRNs.
- Ensure customercomplaints are timely and appropriately managed and closed toachieve organization’s customer satisfactiontargets.
- Assist in conducting monthly meetingswith FM service providers, HSE, security, and contractors to assessthe contractor’s performance, HSE requirements, identifynon-compliance and action plans.
- Keep abreastregarding the latest trends and methods related to facilitiesmanagement and recommend the most appropriate operation andmaintenance practice to the management in order to increase theefficiency and customer satisfaction.
- Implementvalue engineering concept and methods in order to reach to costeffective solutions and accordingly save maintenance and operationcosts for the community.
Desired candidate profile
- Ensure the Service provider is attending to allre-active service requests from various stakeholders and incompliant with the SLA.
- Maintain effectivecommunication with suppliers, internal departments and stakeholdersand provide active support in the delivery of services by suppliersas per SLAs and QHSE standards.
- Review andcertify service provider’s monthly performance andpayment certificate
- Initiate procurementprocess, liaise with procurement during the tendering process,review vendor responses and issue GRNs.

Aboutyou:
- Bachelor’sDegree in Engineering or Facilities Managementpreferred
- Minimum of 4 years of facilitymanagement experience
- Experience of managingcontractors and third-party serviceproviders
- Knowledge of facility managementprocesses, tools, standards, documentation, and systemsused
- Understanding of local regulations andpolicies relevant to building operations, community management andfacility management
