Advancement Officer

JOBDESCRIPTION:
- Thisposition will be directly reporting to the Executive DirectorOffice of Advancement and AlumniAffairs.
- Coordinatesoversees and/or performs a wide variety of support activitiessecretarial services and confidential assignments for the office orcollege.
- Servesas the primary point of contact for the Executive Director withother offices deans faculty members and students; by responding toinquiries and satisfying all theirneeds.
- Providesstaff and office support for the office/college which includesscreening and handling telephone communications greeting anddirecting visitors and dealing with administrative issues andinquiries as theyarise.
- Maintainingthe office calendar and schedulingappointments.
- Organizesand facilitates meetings and special events; schedules andcoordinates dates and times venues attendance agendas andfacilities; takes minutes and provides administrative support andfollowup on matters arising frommeetings.
- Gathersenters and/or updates data to maintain departmental records anddatabases as appropriate; establishes and maintains files andrecords for theoffice.
- Coordinatesand oversees the daytoday management of supplies and equipment fortheoffice.
- Assistsin the scheduling and coordination of the managers appointments andtravelarrangements.
- Guidesand oversees the work of newly appointed junior staff and/ortrainee students when engaged in related supportactivities.
- Draftsletters announcements memos circulars and emails and communicateswith all internal and external parties asneeded.
- Performsmiscellaneous jobrelated duties asassigned.
- Managesthe office s budget and spending requirements and follows up onnecessary financial transactions of theOffice.
- Supervisesall clerical duties of the Office by maintaining organized andeasily accessible digital and paperbased resources retrievingimportant.
- Filesensuring accurate and timely flow of documents and reviewing andarranging those which need the Executive Director ssignature.
- Ensuresthat the deadlines of all requirements tasks duties and projectsare always met by following up with all relatedparties.
- Maintainsregular contact with AU s internal and external parties bycommunicating the Executive Director s instructions requirementsand decisions and briefing him on important issues of interest andfeedback.
- Enhancesprofessional growth and development through participation ineducational programs current literature inservice meetings andworkshops.
- Bachelorsdegree in a related field such as business administration publicadministration or communication.
- With35 years of experience that is directly related to the duties andresponsibilitiesspecified.
- Stronginterpersonal and communication skills and the ability to workeffectively with staff from a diversecommunity.
- Abilityto create compose and edit correspondence and other writtenmaterials.
- Abilityto coordinate and organize meetings and/or specialevents.
- Excellentcustomer serviceskills.
- Excellentcommunication skills spoken andwritten.
- Knowledgeof planning and schedulingtechniques.
- Abilityto provide guidance to staff members in otheroffices.
- Knowledgeof fundraising and development principles andpractices.
- Familiaritywith alumni relations and engagementstrategies.
- Workis normally performed in a typical interior work environment whichdoes not subject the employee to any unpleasant elements.
- Theposition may entail work after duty hours on weekends holidays andin emergency (i.e. may be subject to oncallresponsibilities).
